Intake Coordinator

Vertex Counseling and Wellness | Germantown, MD (In-Person) | Full-Time | Monday–Friday

Vertex Counseling and Wellness is a private mental health practice serving Montgomery County, MD. We specialize in treating PTSD, depression, anxiety, OCD, and adjustment disorders using evidence-based and innovative therapeutic approaches, including CBT, mindfulness strategies, and exposure therapy. Our mission is to help clients achieve their personal goals and make mental health wellness a natural part of life.

We're hiring a full-time Intake Coordinator at our Germantown office. This is an in-person role where you'll serve as the primary point of contact for clients and referral partners—managing the intake process from first call through first appointment and beyond. You'll play a critical role in ensuring seamless care coordination and an outstanding client experience.

• Manage all incoming client referrals and schedule initial appointments within 24 hours
• Verify insurance coverage and assist with pre-authorization
• Match clients with clinicians based on clinical specialization and client needs
• Maintain accurate EHR records in full HIPAA compliance
• Cultivate relationships with community partners and referral sources
• Conduct post-appointment follow-ups to ensure client satisfaction
• Support front-office operations: greeting clients, check-in, phones, and administrative tasks
• Track referral sources and support practice marketing initiatives

• Outstanding interpersonal and communication skills
• Exceptional organizational ability and attention to detail
• Self-starter comfortable working independently
• Tech-savvy: proficient with Office suite, EHR systems, and social media
• Passion for mental health, social justice, and community engagement
• Medical billing or mental health practice experience is a plus

$18–$20/hour (increase to $20/hr after 6 months)
