Compassionate ABA & Therapeutic Services is seeking an organized, compassionate, and proactive Intake Coordinator to help families access ABA, speech, and occupational therapy services. You will be a consistent point of contact, guiding new clients through intake, helping services begin smoothly, and continuing to support active families.

What You’ll Do

• Guide families from inquiry to active services: Explain next steps, collect required documents, coordinate assessments, and follow up until services begin.
• Support ongoing clients: Check in after therapist assignments and the first week of services, maintain regular communication, and help resolve administrative concerns.
• Assist with insurance: Call insurance companies to verify eligibility and benefits, clarify authorization requirements, check request statuses, and document reference numbers and next steps.
• Coordinate across departments: Work closely with the Intake Manager, clinicians, scheduling, and billing teams to address barriers and support continuity of care.
• Keep records current: Update intake spreadsheets and client records daily, track outstanding items, and follow through on deadlines.
• Support continued access to care: Monitor assigned insurance and authorization follow-up tasks, identify potential service gaps, and promptly escalate concerns.
• Create a welcoming experience: Respond professionally and consistently so families know who to contact and what to expect.

What We’re Looking For

• Strong organization, attention to detail, and dependable follow-through.
• Warm, professional communication by phone, email, and in person.
• Ability to manage multiple families and priorities without losing track of next steps.
• Confidence making insurance calls and asking questions to obtain clear answers.
• Comfort using Google Workspace, spreadsheets, and electronic client records.
• Sound judgment when handling confidential information.
• Experience in healthcare intake, patient coordination, insurance verification, or medical administration preferred.
• Experience with ABA, speech therapy, or occupational therapy is a plus.

Schedule and Engagement Options

• In-person, office-based position.
• Full-time schedule: Monday–Friday, 9:00 AM–5:00 PM.
• W-2 employment or contractor opportunities available, with terms discussed during the hiring process.
• Biweekly pay.
• An ongoing opportunity with continued engagement based on performance and company needs.
