Overview
We are seeking a motivated and detail-oriented Receptionist/Administrative Assistant to join our team. This role is essential in providing excellent customer service and administrative support, ensuring smooth operations at the front desk and assisting with back office duties. The ideal candidate will possess strong organizational skills, proficiency in office management, and the ability to handle multiple tasks efficiently in a fast-paced environment.
Responsibilities
- Greet and assist visitors in a friendly and professional manner at the front desk.
- Answer preliminary questions about med spa/aesthetic procedures
- Manage phone systems, directing calls appropriately and taking messages when necessary.
- Managing inbound leads and inquiries from a variety of sources including web forms and social media
- Assist with social media content creation and posting
- Perform data entry tasks, maintaining accurate records and filing systems.
- Utilize QuickBooks for bookkeeping and financial record management as needed.
- Provide clerical support including typing, proofreading documents, and managing correspondence.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Maintain office and medical supplies inventory and place orders as required.
- Maintain retail product inventor and place orders as required.
- Support customer service efforts by addressing inquiries and providing information to clients.
- Collaborate with team members to enhance office efficiency and workflow.
Requirements
- Must be willing to work afternoons/evening and saturdays.
- Excellent customer service skills.
- Energetic positive attitude
- Proven experience in an administrative or receptionist role is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Strong computer literacy with the ability to learn new software quickly; experience with QuickBooks is a plus.
- Excellent organizational skills with strong attention to detail and time management abilities.
- Familiarity with phone systems and professional phone etiquette is essential.
- Previous experience as an aesthetic, dental, or medical receptionist is advantageous but not mandatory.
- Ability to work independently while also being a collaborative team player.

Pay: $20.00 - $35.00 per hour
