Job Summary

The Human Resources coordinator is a kind, collaborative, creative, highly organized, people-first operator

responsible for executing core HR processes while supporting the broader people, culture and operations needs of

the agency. This role ensures a smooth team member experience—from recruiting through offboarding—while

maintaining compliance, consistency and care across internal Vendi systems and programs.

This individual is a trusted resource for team members, a dependable partner to leadership and a steady shepherd

of processes already in place.

Key accountabilities

Recruitment & hiring support

  • Set up and manage job listings across hiring platforms
  • Review applicant resumes and conduct first-round interviews
  • Coordinate interview logistics and candidate communications
  • Support Vendi Launch intern recruitment and program

Team member onboarding, offboarding & compliance

  • Execute end-to-end onboarding for new team members, including:
    • Walking through Vendi handbook
    • Presenting payroll and benefits forms
    • Coordinating equipment, systems and workspace setup
    • Giving office tours and facilitating team introductions
    • Submitting required information to state reporting systems
    • Setting up team members in internal systems (BambooHR, Basecamp, Harvest, payroll tools)
    • Coordinating new team member buddy program
  • Co-facilitate new team member orientation with hiring manager and ensure professional and consistent onboarding experience
  • Process team member changes (promotions, title updates, approver changes) in coordination with payroll
  • Execute offboarding paperwork and manage offboarding procedures
  • Conduct exit interviews and maintain exit interview logs
  • Maintain strict confidentiality and accurate team member records
People, culture & operations support

  • Serve as a team member resource for onboarding questions and 30-day check-ins
  • Maintain and update the team member handbook and internal HR processes
  • Support professional development initiatives, licensing and training administration
  • Manage tuition reimbursement program and ensure compliance with Section 127 requirements
  • Lead or support benefits coordination processes
  • Lead and coordinate Vendi team events (Vendi Henge, Mental Health Week, Pride, Holiday Party)
  • Participate in internal committees and initiatives (PPC, Self-Promo, others as interested)
  • Coordinate internal programming such as Red Talks and guest speakers
  • Support facilities, office management and internal ordering, including Vendi merch catalog
  • Assist with HR data reporting, audits, usage tracking, and ad hoc people and culture projects
  • Coordinate all aspects of annual benefit open enrollment, including timelines, communication, scheduling and employee support
  • Serve as the first point of contact for employee benefit questions, escalating complex issues as needed
  • Enter and audit benefit elections in HRIS systems to ensure accuracy and compliance
  • Collaborate with CEO on benefit enrollment, timelines and communication

Qualifications & Attributes

  • 1 years of experience in human resources, operations or a related internship
  • Bachelor’s degree in human resources or related field preferred
  • Experience in media, marketing, advertising or creative environments is a plus
  • Strong written and verbal communication skills
  • Exceptional organization, follow-through and attention to detail
  • Proficiency with Microsoft Office (Outlook, Excel required)
  • Experience with HRIS and applicable software (BambooHR, Basecamp, Harvest, Adobe suite) is a plus
  • High level of discretion, professionalism and trustworthiness
