This role serves as the first point of contact for visitors, clients, and employees, creating a welcoming and professional environment. The Office Administrator/Receptionist is responsible for managing front desk operations, handling incoming communications, and providing administrative support to ensure the efficient day-to-day functioning of the office.

Position OverviewWe are seeking a highly organized, proactive, and professional Office Administrator/Receptionist to support Variosystems North America. This role serves as the first point of contact for visitors, clients, and employees, creating a welcoming and professional environment. The Office Administrator/Receptionist is responsible for managing front desk operations, handling incoming communications, and providing administrative support to ensure the efficient day-to-day functioning of the office.
Key Responsibilities
- Manage front desk operations and greet visitors in a professional manner
- Coordinate travel and hotel accommodations for visitors and employees
- Plan and organize employee events, including birthdays and recognition programs
- Order and pick up food for events and coordinate employee of the month prizes (e.g., Uline items)
- Maintain and update AHEAD postings and company communication boards
- Perform routine supply runs (e.g., Costco) as needed
- Stock and maintain office kitchen and refrigerator supplies
- Manage visitor smock laundering and inventory
- Oversee smock and strap distribution and organization
- Retrieve and distribute incoming mail
- Answer and direct incoming phone calls
- Coordinate and escort shredding service providers (e.g., Shred-it)
- Maintain cleanliness and organization of conference rooms
- Create employee engagement and communication flyers
- Manage the printing and distribution of business cards and support other marketing initiatives as needed
- Document meeting notes
- Provide administrative and executive assistant support as needed
- Perform additional duties as assigned by the supervisor
- High school diploma or equivalent
- 1-2 years of experience providing administrative or office support
- Proficiency in Microsoft Office 365 (e.g. Word, PowerPoint, Outlook)
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Ability to multitask and prioritize in a fast-paced environment
Salary : $17 - $19
