Patient Care Coordinator

Job Summary
We are seeking a friendly and organized Patient Care Coordinator to join our dental practice in Hattiesburg, MS. The ideal candidate will provide exceptional front desk and reception services, coordinate patient appointments, assist with insurance and financial processes, and support administrative tasks to ensure a smooth and welcoming patient experience.
Key Responsibilities
Front Desk & Reception
- Greet all patients and visitors promptly, warmly, and professionally.
- Answer incoming phone calls, respond to inquiries, and route messages to the appropriate staff.
- Maintain a clean, welcoming, and organized reception area.
Appointment Scheduling & Coordination
- Schedule, confirm, and reschedule appointments using dental practice management software.
- Ensure the daily schedule is optimized for productivity and clinical efficiency.
- Send appointment reminders via phone, text, or email.
- Follow up with patients on missed or cancelled appointments and assist with rescheduling.
Patient Check-In & Check-Out
- Assist patients with check-in, update personal and medical information, and obtain necessary forms and signatures.
- Collect co-pays and outstanding balances at check-in or check-out.
- Provide patients with post-appointment instructions and next steps.
Insurance & Financial Coordination
- Verify dental insurance eligibility and benefits prior to appointments.
- Accurately input insurance information into patient profiles.
- Communicate insurance coverage, limitations, and estimated patient portions.
- Collect and post payments; provide receipts and statements as requested.
Administrative Support
- Maintain accurate and up-to-date patient records in compliance with HIPAA regulations.
- Assist with the preparation and submission of insurance claims and pre-authorizations.
- Support recall and reactivation efforts to maintain patient retention.
- Manage incoming and outgoing correspondence, including mail, email, and fax.
Qualifications & Requirements
Education & Experience
- High school diploma or equivalent required.
- Minimum of 1β2 years of experience in a customer service, administrative, or front desk role; dental or medical office experience preferred.
- Experience with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental) is strongly preferred.
Skills & Competencies
- Excellent communication and interpersonal skills.
