Job Overview – Office Administrator (Outpatient Mental Health Clinic)
We are seeking a highly organized, detail-oriented, and compassionate Office Administrator to support daily operations within our Outpatient Mental Health Clinic (OMHC). In this essential role, you will serve as a central point of coordination for administrative, clinical, and operational workflows, helping ensure a smooth, efficient, and compliant clinic environment.
The Office Administrator will manage front-office functions, scheduling, documentation flow, and coordination with clinical staff, vendors, and community partners. This role requires strong organizational skills, professionalism, discretion, and the ability to thrive in a fast-paced, client-focused healthcare setting. Your proactive approach will directly support quality care delivery, staff efficiency, and a welcoming experience for clients and families.
Duties
- Manage daily clinic operations, including front desk coverage, multi-line phone systems, and coordination of client inquiries to ensure timely and professional communication.
- Oversee clinician and clinic calendars, scheduling client appointments, intakes, family sessions, staff meetings, and clinical events while supporting efficient service delivery.
- Coordinate clinic-related events , including staff meetings, compliance activities, and community outreach events, managing logistics and vendor coordination as needed.
- Maintain organized electronic and physical filing systems, ensuring secure handling of clinical and administrative records in compliance with HIPAA, COMAR, and agency policies.
- Support medical and behavioral health office functions, including intake coordination, client scheduling, verification of documentation, and assistance with EHR systems as applicable.
- Serve as a liaison with vendors, contractors, and internal teams to support facility operations, resolve issues promptly, and maintain a professional and welcoming clinic environment.
Qualifications
- Proven experience in office administration, healthcare administration, or clinic operations, with strong clerical, organizational, and time-management skills.
- Excellent verbal and written communication skills, including professional phone etiquette, to interact effectively with clients, families, clinicians, vendors, and community partners.
- Strong coordination and planning skills, including experience supporting staff meetings, trainings, compliance activities, and vendor management.
- Familiarity with medical or behavioral health office operations, including client scheduling, intake coordination, and electronic health records (EHR), is preferred but not required.
- Ability to manage multiple priorities in a fast-paced outpatient mental health environment while maintaining accuracy, professionalism, confidentiality, and compliance with HIPAA, COMAR, and agency policies.
Pay: $20.00 - $23.00 per hour
Expected hours: 40.0 per week
