Van Ness Feldman seeks an Executive Legal Assistant to join our exciting and ambitious Electric Practice Group team. This position will be based in our Seattle, Washington office.


This position will be an exclusively in office position with the opportunity for a hybrid role 3x a week once fully integrated and trained. This position is classified as non-exempt and subject to overtime if applicable. The working hours requirement is 37.5 hours per week.


Position Summary

We are seeking a highly organized and proactive Executive Legal Assistant to join our dynamic Electric Practice Group team. In this role, you will serve as a trusted partner to our attorneys and policy professionals, playing a critical role in supporting complex legal and regulatory matters that shape the energy industry.


The ideal candidate is detail-oriented, resourceful, and thrives in a collaborative, fast-paced environment. You will manage a variety of high-level administrative responsibilities, interact professionally with clients and colleagues, and help ensure the seamless execution of day-to-day operations. What You'll Do

Key Responsibilities

  • Provide administrative support to attorneys, policy professionals, clients, and other firm stakeholders.
  • Manage calendars, schedule meetings, coordinate conference calls, and arrange travel.
  • Prepare, edit, proofread, and format legal documents, correspondence, presentations, and other materials with a high degree of accuracy.
  • Respond to client and internal inquiries professionally and handle administrative matters with minimal supervision.
  • Maintain client files, records, and document filing systems in accordance with the Firm's records retention policies.
  • Enter and edit attorney time for consistency, prepare expense reports, reconcile travel and corporate card expenses, and ensure accurate client and matter coding.
  • Complete new business matter intake forms.
  • Handle mail, copy, scan, and distribute documents as needed.
  • Coordinate meeting logistics, including reserving conference rooms, ordering meals, and assisting with meeting setup and cleanup.
  • Safeguard confidential client and Firm information while maintaining the highest level of professionalism.
  • Prioritize multiple assignments, manage competing deadlines, and exercise sound judgment in a fast-paced environment.
  • Communicate effectively and collaborate with attorneys, clients, and colleagues to provide exceptional administrative support.
  • Assist with special projects and perform other duties as assigned.


Basic Qualifications

  • High school diploma or equivalent required.
  • Three or more years of administrative, executive assistant, or legal assistant experience.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Demonstrated attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to work independently while collaborating effectively in a team environment.


Preferred Qualifications

  • Undergraduate degree or higher preferred.
  • Experience supporting attorneys or professionals in energy, environmental, regulatory, or government affairs practices is a plus.
  • Advanced Microsoft Word experience preferred.
  • Excellent working knowledge of document management software, imanage preferred.
  • Knowledge of legal or professional services billing practices.
  • Familiarity with legal terminology, document preparation, and court or regulatory filings.
  • Experience supporting attorneys, executives, or senior professionals in a law firm, professional services, or corporate environment.
  • Entry level knowledge of AI tools and systems preferred.

Van Ness Feldman is an Equal Opportunity Employer. The estimated base pay range for this role is $65,000-$85,000 annually depending on experience, skills, education, internal equity, and market location.
