ESSENTIAL RESPONSIBILTIES This position does require a combination of day, night, weekend and holiday work schedules as business dictates. Plan, up-sell and coordinate function details with clients to include but not limited to group room blocks, space requirements, meeting times, equipment, entertainment, audio visual, menus, billing, etc. Prepare and execute sales/catering contracts, event orders, group resumes to ensure quality product delivery and customer satisfaction. Negotiate catering prices and other sales terms for groups assigned as well as new catering business contracted. Prepare proposals and/or contracts to advise prospective customers meeting space and/or banquet date, space availability, details of program and food & beverage minimum requirements. Create and distribute effective internal and external communication (written and verbal). Exhibit a positive and involved team attitude to all hotel departments and maintain open communications with all guests, vendors and staff members for the best overall performance of the hotel. Develop and continually enhance relationships with all accounts. Promptly follows-up on all customer needs and inquiries in an efficient and expedient manner. Communicate to both guests and fellow associates, professionally and positively. Achieve financial goals as established by management and complete all reports and assignments in an accurate and timely fashion. Maintain well-documented, accurate, organized, and up-to-date file management system to include obtaining signed Catering agreements / BEOs / Group Resumes, ensuring minimum revenues and all contracted deposits and or pre-payments required are met to serve client and employer in the most expedient, organized, and knowledgeable manner. Create / Manage all details of the BEO ensuring all arrangements are confirmed and signed by client and communicated to the Banquet Department, Chef, Food and Beverage Manager. Signed BEOs (Banquet Event Orders) are to be distributed 14 days prior to event. Attend BEO meeting for all assigned groups. Attend the start of each of your events and introduce your meeting planner to the banquet captain in charge of your function. Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up. Must possess computer skills, including, but not limited to, accounting programs, Microsoft Word, Excel and Delphi FDC or similar Event Order systems, previous experience preferred. Assist in coordinating specifics of the BEO and any special needs of the client through pre-convention reports and meetings. Manage each event by communicating with all departments and ensuring the accuracy of event details. Ensure adequate controls are installed and maintained for the protection of the hotel’s financial assets against loss or misappropriation. Drive Sustainable Meeting Practices through education, implementation and partnering with meeting planners. Development of Self and Others through assigned online and in person training. Education: Two to four-year college degree or equivalent education/experience. CMP Certification is a plus. Experience: A minimum of two years of Convention Services / Catering experience or a related position. Skills and Abilities: Ability to perform critical analysis and manage a wide range of information. Extensive knowledge of negotiating, principles and practices within catering sales, food and beverage, and sales procedures associated with the hotel industry. Excellent oral, written and presentation skills sufficient to produce sales and marketing communication that properly reflect the Foundation Image. Listen effectively. Ability to delegate, manage manpower and organize complex projects and establishes priorities consistent with department/hotel objectives. PHYSICAL JOB REQUIREMENTS: (essential functions only) Lifting/Pushing/Pulling/Carrying: Lift Up to 10 lbs. Bending/Kneeling: As needed Mobility: Servicing groups, site inspections, attending meet ings, travel and community/ industry functions Continuous Standing:Hotel tours, supporting event execution Climbing Stairs:Up to approximately 4%. Ladders: Up to approximately 0 %. Driving:Occasional competitive property visits, industry & other meetings/events. Have a valid driver license. Work Environment: Inside: 70 %; Outside: 30 %.
