Valor 3 Services, LLC is seeking a highly organized and professional Executive Administrative Assistant to support a federal customer. The Executive Administrative Assistant will provide high-level administrative and operational support to senior leadership in a fast-paced, mission-focused environment. This role requires strong attention to detail, discretion in handling sensitive information, and the ability to manage multiple priorities simultaneously. This position requires an individual who is proactive, dependable, and capable of supporting executive leadership with a high degree of professionalism and confidentiality. This position is contingent upon contract award.
Location: Washington, DC metropolitan area (or as required by the federal customer)
Clearance Requirement: Applicants must currently hold an active Department of Energy (DOE) Q clearance or Department of Defense (DoD) Top Secret (TS) clearance. Candidates without one of these active clearances cannot be considered for this position.
Key Responsibilities:
- Review documents requiring senior executive signature, coordination, or concurrence for accuracy, completeness, and compliance with formatting and procedural guidelines.
- Maintain calendars for senior executives, proactively keeping them informed of important organizational matters and upcoming engagements.
- Serve as a point of contact with other program office support services and stakeholders.
- Assist in maintaining and updating internal and external web content.
- Organize, manage, and maintain physical and electronic office files and databases.
- Distribute daily news releases and relevant media communications to staff and leadership.
- Escort maintenance personnel, supply delivery staff, and visitors to secure locations or executive meetings, as needed.
- Coordinate and process domestic, foreign, and local travel requests.
- Prepare, submit, and track travel authorizations and vouchers.
- Support secure communication by handling classified package concurrence, passing clearances, and transmitting documents via SIPR and NESAN systems.
- Track and manage both classified and unclassified correspondence using formal correspondence control systems.
- Prepare for and support meetings, conferences, teleconferences, and virtual sessions (WebEx, VTC); ensure all audio/visual equipment is operational and accessible.
- Submit training requests and coordinate all travel logistics for senior leadership.
- Support client-hosted conferences and meetings, including off-site events; provide A/V and logistical support.
- Maintain and update key administrative systems, including contact lists, distribution lists, and shared calendars.
- Coordinate with other NNSA support offices to prepare and submit official signature packages.
- Serve as a liaison between multiple Program Offices to ensure smooth communication and workflow.
- Comply with all required safety, security, and reporting protocols, including training, status reporting, and exception tracking.
- Provide consistently high levels of service and responsiveness to meet or exceed client expectations.
- Train and guide new staff on eDOCS ticketing, document preparation, and correspondence distribution.
- Manage the DNS Correspondence Box and update the DNS Action Tracker within the Shared Portal.
- Perform additional administrative tasks and duties as assigned.
- Perform other duties as assigned
Requirements/Qualifications:
- Active DOE “Q” or DoD Top Secret security clearance.
- High School Diploma or GED.
- 5–7 years of relevant administrative experience.
- Strong proficiency with Microsoft Office Suite (Word, Outlook, PowerPoint, Excel) and related office software.
- Knowledge of standard office procedures, government documentation protocols, grammar, punctuation, and formatting best practices.
- Proven organizational skills and keen attention to detail
- Excellent written and verbal communication abilities
- At least 2 years of experience processing and tracking official foreign travel
- Strong commitment to customer service, professionalism, and a sense of mission
Desired Qualifications/Skills:
- Bachelor’s degree from an accredited college or university.
- 7–10 years of administrative support experience
- Familiarity with the structure and mission of the NNSA
Physical Requirements and Work Environment:
This is a full-time, on-site position performed in a professional government office environment. Duties are primarily sedentary and require extended periods of working at a desk, operating a computer, and using standard office equipment. The role may involve occasional walking, standing, or escorting visitors within secure areas. Light lifting (up to 25 lbs) may be required for handling documents or meeting materials. The position may also require occasional travel to support offsite meetings or conferences. The work environment is fast-paced and deadline-driven, requiring the ability to manage multiple tasks simultaneously while maintaining accuracy and discretion, particularly when handling sensitive or classified information.
