Job Overview

We're looking for friendly, dependable, detail-oriented individuals who enjoy helping people and keeping things organized.

As a Customer Service & Intake Specialist, you'll play an important role in supporting our clients and licensed insurance agents throughout the enrollment process. You'll often be one of the first points of contact for clients, helping gather information, complete intake requirements, collect documentation, coordinate appointments, and ensure our agents have the information they need to efficiently assist clients.

This is a customer-facing support position that requires strong communication, organization, follow-through, and attention to detail. You'll work with a high volume of clients during Open Enrollment and will need to be comfortable managing multiple tasks and priorities while maintaining accuracy and providing a positive client experience.

What You'll Do

  • Serve as an initial point of contact for clients seeking health insurance and Medicare assistance
  • Assist clients with completing intake forms and gathering information needed for upcoming appointments
  • Review client intake information for completeness and identify missing information or documentation
  • Contact clients prior to scheduled appointments to confirm required information is complete and identify outstanding items
  • Schedule and confirm client appointments and help ensure clients are prepared for their appointments
  • Prepare and organize client files for licensed insurance agents
  • Enter and maintain accurate client information in our agency management systems
  • Track outstanding client items and follow up to help keep enrollment cases moving forward
  • Assist with routine customer service inquiries and route insurance-related questions to the appropriate licensed team member
  • Support health insurance and Medicare enrollment workflows during Open Enrollment and other high-volume periods
  • Follow established procedures and applicable privacy, compliance, and documentation requirements
  • Work collaboratively with agents, customer service staff, and leadership to ensure clients receive timely assistance
  • Participate in ongoing training and learn our systems, processes, and enrollment workflows

What We're Looking For

  • Strong customer service and communication skills
  • Excellent attention to detail and accuracy
  • Strong organizational and time-management skills
  • Ability to manage multiple tasks and follow up consistently
  • Comfortable working in a fast-paced, high-volume environment
  • Comfortable communicating with clients by phone, email, and text
  • Ability to learn new systems, processes, and insurance terminology
  • Comfortable working with computers and multiple software applications
  • Dependable, punctual, and able to maintain reliable attendance, particularly during peak enrollment periods
  • Professional and comfortable handling confidential client information
  • Previous customer service, administrative, healthcare, insurance, benefits, banking, or similar experience is helpful but not required
  • Bilingual candidates are strongly encouraged to apply
