Intake Specialist
GENERAL DESCRIPTION:
The Intake Specialist is the first point of contact for potential applicants who are seeking VIDA assistance. The Intake Specialist will guide potential applicants through a screening process to determine eligibility, and invite them to become a participant. The Intake Specialist will assist applicants in the completion of initial application as well as documents and updates for submission. The Intake Specialist is responsible for participant file preparation and maintenance of all pertinent participant information in APRICOT.
SUPERVISION RECEIVED:
Work is performed under the general supervision of the Chief Program Officer.
DUTIES PERFORMED:
1. Processes paperwork for new applicants efficiently and in accordance with protocols.
2. Obtains pertinent information from new applicants by asking them to complete application and upload documents into Apricot in a timely manner.
3. Answers and screens inquiry calls and emails from prospective applicants.
4. Collects data to help with the admission process.
5. Ensures that all admission forms are properly signed and filed.
6. Communicates with other team members constructively in order to reduce conflict and enhance the resolution of issues.
7. Respects client or patient dignity and confidentiality.
8. Adheres to the facility dress code and appears professional at all times.
9. Prepares and maintains participant’s files inclusive of eligibility documents, assessment forms, exam results, support services forms, receipts, counseling notes, termination notices, completion certificates, et al
10. Maintains working knowledge of training program information and disseminates to the public accordingly (telephone, mail, etc.)
11. Enters data notes into the APRICOT Management System (database) appropriately and accurately
12. Submits all required and/or requested documentation/reports/paperwork by assigned due dates
13. May assist with coordinating other VIDA events
14. Assist with reception duties
15. Performs other duties as assigned
MINIMUM QUALIFICATIONS:
High school graduate or completion of GED; some college preferred. Working knowledge of employment and training programs, federal, state, and local regulations. Intermediate experience in Microsoft Office Suite, Windows applications, Internet, and email required. Strong communication skills - written and oral required; Spanish desired. Some evenings and weekends required. High professional standards.

Pay: $14.00 - $16.00 per hour
