Overview
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks.
The Administrative Assistant's role involves supporting our managers and employees, handling daily office tasks, and overseeing the organization’s general administrative functions. Key responsibilities include arranging travel and meetings, preparing reports, and maintaining organized filing systems. The ideal candidate will possess strong oral and written communication skills and be proficient in using tools such as Word, MS Excel, and office equipment. Prior experience as an Executive Administrative Assistant and familiarity with our industry are highly desirable. Ultimately, the Administrative Assistant will ensure the efficient and smooth operation of our office on a day-to-day basis.
Responsibilities
- Answer telephone with clear, courteous, and business voice and direct the call to the appropriate destination.
- Receive visitors and mail, make appropriate inquiries and direct and route to their destination.
- Type, sort, file, mail, and copy letters and other documents as directed.
- Take notes and transcribes minutes for all board meetings.
- Prepares meeting room for all board meetings.
- Assist leadership team with planning of special projects.
- Prepare and process purchase requisitions/orders and distribute department office supplies, maintain inventory of existing supplies and capital outlay items.
- Organize and schedule appointments
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Book travel arrangements
- Provide general support to visitors and employees
- Act as the point of contact for internal and external clients
- Will perform other related duties as assigned.
Skills
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in Word, MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree
- Associate degree preferred
