What are the responsibilities and job description for the Assistant Billing Manager position at Valley Greene Apartments, Inc.?
We are a small housing cooperative located on the edge of Fairmount Park. We are accessible to all major means of transportation and shopping. The Assistant Property Manager supports the board president, managing the information flow for the corporation, maintaining the filing system, coordinating with the maintenance supervisor on unit restoration and repairs, tracking repairs to rental units, maintaining contractor information, including insurance coverage, and in submitting proper government documentation. He/she assists with tenant relations and follows up on inquiries, coordinating with our realtor and the Real Estate Committee on leases and unit purchases. Help ensure the smooth daily operations of a property and resolve tenant issues by acting as a liaison between residents, the board, and maintenance staff. They also coordinate with our Community Coordinator at CAMCO Management as a resource and advisor on their business issues.
Key Responsibilities
· Administrative Support: Manage administrative tasks such as answering phones, managing the appointments on behalf of the board president, organizing all business records, filing, and communicating with residents and vendors.
· Maintenance Coordination: Coordinate with the maintenance supervisor to schedule repairs, monitor maintenance activities, and oversee the maintenance of common areas.
· Tenant Relations: Respond to tenant inquiries and complaints, manage move-in/move-out processes, and help enforce community policies.
· Leasing & Marketing: Support the Real Estate Committee and Realtor with showing available units, processing applications, explaining Valley Greene as a Housing Cooperative in response to inquiries, and distributing marketing materials to attract new residents.
· Financial Administration: maintain business records and assist with financial reporting, including preparing invoices and reports.

· Time Management: It is easy to get drawn into the community culture. People are friendly, many are retired, and they love to share information. It is up to the Assistant Property Manager to organize their time and set boundaries so that they meet the expectations of their supervisor.
· Handling of Confidential Information: The Assistant Property Manager handles confidential information regularly. Knowing how to maintain the confidence of the board and the management company regarding the personal information of residents and staff is a must.
· Organizational Skills: The ability to manage multiple tasks simultaneously, pay attention to detail, and handle paper and digital documentation is a must.
· Communication Skills: Excellent verbal and written communication, converse professionally with tenants, owners, vendors, and the Community Manager.
· Problem-Solving Skills: The capacity to address tenant issues and property concerns efficiently and effectively. Relying on available resources to keep complaints to a minimum.
· Technical Proficiency: Comprehensive computer skills in managing digital record keeping and familiarity with property management software.
Requirements
Education: Applicants must have a high school diploma or its equivalent, plus at least two years of college in liberal arts or business.
Experience: At least three years of experience working in the building/property management industry.
