As an Office Coordinator you will coordinate and administer all office support functions, provide guidance on policies and procedures, and assist with plant human resource duties

  • Provide administrative support to the Plant Manager, participate on the leadership team and regularly attend meetings.
  • Review and enter timesheets into SAP and reconcile payroll reports.
  • Manage applicant flow in the applicant tracking system, schedule interviews, potentially participate in onsite interviews, manage record retention of recruiting materials and conduct New Hire Orientation.
  • Support the communication and administration of HR/ site policies in coordination with the Plant Manager and direction from Valero Renewables Human Resources.
  • Assist the Corporate Benefits Department with benefits open enrollment and be a resource for basic benefits questions.
  • Represent company at career fairs and community outreach events.
  • Generate various HR reports in SAP.
  • Partner with the Plant Manager to coordinate daily tasks and responsibilities for the Administrative Assistant.
  • Serve as Site Administrator for the Learning Management System.
  • Reconcile and verify purchase card transactions, ensuring proper documentation, coding, and adherence to budget guidelines.
  • Organize employee recognition and appreciation events and manage plant-wide internal communications.
  • Coordinate special events such as United Way Kickoff, family day, biometric screenings, and volunteer activities.
  • Coordinate charitable giving initiatives.
  • Coordinate meeting logistics, including room reservations, setup and other administrative needs.
  • Develop and maintain plant filing system, ensuring retention policy compliance.
  • Serve as the primary backup for front desk activities, including answering phones and greeting visitors.
  • Coordinate support services for the administration building, including janitorial and lawn/landscaping services.
  • Manage employee uniform rentals and winter boots program.
  • Verify contractor safety training compliance by administering and documenting training when needed.
  • Serve as the primary contact for plant tour requests.

This position is hourly nonexempt status, which means you are eligible for overtime pay.

Qualifications


Minimum Requirements:

  • High School Diploma or GED required.
  • Minimum of five years of administrative or office management experience required.
  • Able and willing to work on-site and in-person required.

Preferred Requirements:

  • Associate's (or higher) degree preferred.
  • Human resource experience preferred.
  • Experience with standard computer software programs, i.e. Microsoft Outlook, Word, and Excel preferred.
