You will be responsible for keeping our therapy schedules running efficiently — coordinating sessions between clients, RBTs, and BCBAs while serving as a warm and reliable point of contact for the families we serve. Key Responsibilities
- Build, manage, and maintain daily and weekly therapy schedules for all clients and clinical staff
- Communicate with families to confirm, adjust, or reschedule sessions with professionalism and care
- Coordinate with BCBAs and RBTs to match clinician availability and expertise with client treatment needs
- Proactively identify and resolve scheduling gaps or conflicts before they impact client care
- Track client authorized therapy hours and ensure prescribed treatment hours are being fulfilled each week
- Maintain accurate records within our scheduling/EMR software
- Assist with new client intake coordination and onboarding scheduling
- Serve as a go-to resource for families with scheduling questions or concerns
- (If RBT certified) Provide direct 1:1 ABA therapy coverage when staffing needs arise
- High school diploma or GED (Associate's or Bachelor's degree preferred)
- 1 year of scheduling, administrative, or coordination experience — healthcare or behavioral health setting preferred
- Strong organizational skills with the ability to manage multiple priorities
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office, Google Workspace, or similar platforms
- Familiarity with HIPAA regulations and client confidentiality
- Active RBT (Registered Behavior Technician) certification
- Prior experience in an ABA clinic or behavioral health setting
- Experience with ABA scheduling/EMR platforms
- Knowledge of insurance authorizations and therapy hour tracking
