Marketing and Events Coordinator

Valant
Seattle, WA Full Time
POSTED ON 11/25/2025 CLOSED ON 1/5/2026

What are the responsibilities and job description for the Marketing and Events Coordinator position at Valant?

Now more than ever, our world needs mental health professionals. Day in and day out, they’re doing their best to provide exceptional care to an increasing number of patients. But, they’re working with generic or simplistic tools that limit their potential and growth. We want to change all that – by giving behavioral health organizations everything they need to thrive.

Valant is an established market-leading, software-as-a-service organization serving the unique needs of the behavioral healthcare industry. Our purpose is to make our world a mentally healthier place and we’re seeking enthusiastic, passionate individuals to join us as we transform the industry! If that sounds like you, we’d like to hear from you.

The Marketing & Events Coordinator will serve as the operational engine behind Valant’s tradeshow and events program. This role owns every detail involved in planning, executing, and elevating our presence at industry conferences—from pre-event logistics and vendor management to supporting the onsite team and post-event performance tracking. This role reports to the Head of Demand Gen and is a key contributor to a fast-moving, collaborative marketing team.

Beyond flawless tactical execution, this individual must be a creative problem solver and experience-builder who can help differentiate Valant on a crowded tradeshow floor. You will explore new ideas, spot opportunities for innovation, and craft memorable experiences that represent Valant’s brand at its best. While tradeshows are the core focus of this role, you will also support broader demand generation activities, including campaign execution, marketing operations tasks, and content support—as needed.

What You’ll Do

Tradeshow & Event Management — Primary Responsibility (60–70%)

  • Plan, manage, and execute Valant’s full annual tradeshow calendar, including end-to-end ownership of event logistics: registrations, contracts, shipping, travel coordination, staffing schedules, and budget tracking
  • Oversee booth design, creative direction, signage needs, and on-brand visual experiences
  • Identify opportunities to elevate Valant’s presence—from new booth concepts to engagement strategies, giveaways, demos, and pre-/post-show programs
  • Manage relationships with vendors, agencies, and conference partners (AV, exhibit builders, freight, décor, etc.)
  • Ensure flawless onsite setup, execution, and teardown; travel to events as needed
  • Collaborate closely with sales and demand gen to align on goals, messaging, lead capture, and follow-up processes
  • Analyze event performance and prepare post-event recaps with insights and recommendations for continuous improvement

Demand Generation & Marketing Support — Secondary Focus (30–40%)

  • Assist in executing digital campaigns, email workflows, landing pages, and social media content
  • Support content needs for events, campaigns, and promotions
  • Help maintain marketing systems and data hygiene to ensure accurate lead capture and reporting
  • Assist with managing the marketing calendar and keeping cross-functional partners informed
  • Perform administrative and ad-hoc marketing tasks to support a lean and high-performing marketing team

What You’ll Need

Required Qualifications

  • 2–4 years of B2B marketing experience, including direct responsibility for tradeshow or event logistics
  • Strong operational and organizational skills with a passion for managing details, timelines, and vendor relationships
  • A proactive, resourceful mindset; able to anticipate needs, remove roadblocks, and quickly solve problems onsite and off
  • Excellent written and verbal communication skills
  • Demonstrated creativity; ability to conceptualize new ideas for booth presence, engagement, and visual storytelling
  • Ability to thrive in a fast-paced environment with shifting priorities
  • Willingness to “do what it takes” to deliver exceptional experiences
  • Ability to physically pack, ship and receive booth and materials from Seattle, WA office between tradeshows
  • Comfortable traveling for events occasionally
  • Proficiency in Microsoft Office and familiarity with common marketing tools

Preferred Qualifications

  • Bachelor’s degree in marketing or a related field
  • Experience with tools such as Canva, Adobe Creative Suite, Marketo, HubSpot, Salesforce, WordPress, Google Analytics, and project-management platforms like ClickUp
  • Experience supporting demand generation or revenue-driven marketing teams
  • Familiarity with the healthcare or SaaS industry

What We Offer

  • Competitive compensation package, including 100% employer-paid medical, dental, vision premiums and HSA contributions
  • Generous paid time off and paid sick leave policy
