Responsibilities
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and professionally while maintaining excellent phone etiquette
- Handle appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office
- Maintain organized filing systems, perform data entry, and ensure accurate record-keeping through proofreading and diligent documentation
- Support office management tasks including supply inventory, basic bookkeeping with QuickBooks, and clerical duties such as filing and document preparation
- Assist with customer support inquiries via phone or email, providing timely responses and solutions to client needs
- Perform general administrative tasks such as typing correspondence, managing office emails, supporting personal assistant duties, and ensuring efficient time management
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette to handle high-volume calls confidently
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
- Demonstrated experience in customer service or customer support roles with a friendly and professional demeanor
- Knowledge of bookkeeping software such as QuickBooks is preferred for handling basic financial transactions
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Ability to type quickly with high accuracy, perform data entry tasks accurately, and proofread documents thoroughly
