Responsibilities
- Manage calendar appointments, schedule meetings, and coordinate office events using tools like Google Workspace.
- Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping.
- Support office management activities including supply inventory, equipment maintenance, and space organization.
- Provide administrative support such as copying, scanning, mailing, and preparing correspondence or reports.
- Maintain a clean and organized reception area while demonstrating excellent phone etiquette and organizational skills.
- Will need there own verhicle to help collect payments at offices of contractors.
- Collaborate with team members on special projects requiring strong time management, multitasking, and clerical expertise.
Experience
- Prior office experience in administrative or clerical roles is highly preferred; familiarity with office management is a plus.
- Proven customer service skills with the ability to handle inquiries professionally via phone or in person.
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry software.
- Experience with QuickBooks or bookkeeping is advantageous for supporting financial tasks.
- Bilingual abilities are desirable to effectively communicate with diverse clients and team members.
- Excellent organizational skills with keen attention to detail; ability to prioritize tasks efficiently.
- Demonstrated proficiency in typing quickly and accurately while maintaining high-quality work standards.
- If have experance working for a construction company that would be a huge plus.
