Summary: The Accounts Receivable Administrator is responsible for ensuring all incoming payments are received and processed. This role requires individuals to keep a precise record of all incoming payments and to contact clients to ensure outstanding invoices are paid. Workers in this role ensure that all receipts are tracked and regularly check for any discrepancies in payments received.
Essential Duties and Responsibilities include the following.
- Process, verify, and post receipts for goods sold or services rendered.
- Research and resolve account discrepancies.
- Process and record transactions.
- Maintain records regarding payments and account statuses.
- Obtain information from other departments to ensure records are accurate and complete and that accounts receivable ledgers and journals are up to date.
- Review accounts, client payments, credit history, and develop new or better repayment terms.
- Perform administrative and clerical tasks, such as data entry, preparing invoices, sending bill reminders, filing paperwork, and contacting clients to discuss their accounts.
- Generate reports and statements for internal use.
- Engage in ongoing educational opportunities to update job knowledge.
· Perform other duties as assigned by management

Education/Experience
- Associate degree (A.A.) or equivalent from two-year college or technical school; or three years related experience and/or training; or equivalent combination of education and experience.
- Bachelor’s Degree (B.A.) from four-year college or university, or one to two years related experience and/or training; or equivalent combination of education and experience.
Computer Skills
- Knowledge and prior experience of accounting software systems such as QuickBooks and Microsoft Office Suite
- To perform this job successfully, an individual should have knowledge of Word Processing, Spreadsheet and Email software.
- The ability to operate basic office equipment such as telephones, computers, fax and copy machines.
Language Ability
- Ability to speak and effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
Mathematical Skills
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
- Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Work Environment:
This position is in a standard office environment with desktop business equipment and frequent telephone calls. There may be frequent interruptions and high utilization on some days and low utilization on others. Frequent communication and interaction with management, staff, and outside parties. The noise level is moderate.
