Compensation: $20.00-27.00 per hour

Overview:
The Project Assistant is a versatile support role that involves handling data entry tasks, maintaining document accuracy, and providing administrative support to project teams. This role is essential in ensuring project data and documentation are accurate, up-to-date, and organized efficiently.
Supervisory Responsibilities:
May act as a point of coordination or liaison between different project teams, ensuring seamless communication and timely sharing of information essential for project success.
Duties/Responsibilities:
- Retrieves and enters data into company and client systems, ensuring accuracy and integrity of the data. Regularly updates and maintains data files and reviews discrepancies in data received.
- Compares entered data with source documents and obtains missing or incomplete data to ensure completeness and accuracy of records.
- Utilizes advanced data entry equipment and software to perform tasks efficiently. Maintains a high level of proficiency with company-specific databases and software.
- Identifies and resolves minor processing problems; escalates complex issues to the supervisor or relevant department.
- Regularly communicates with team members and leadership, providing status updates and identifying opportunities for process improvements.
- Maintains strict confidentiality of all company and client information and ensures that all data handling is compliant with legal and company standards.
- Engages in cross-training to understand and support various project areas, enhancing versatility and readiness to take on broader responsibilities.
- Cross-train in other areas, preparing to fill in for anyone absent and to grow in responsibility and scope over time.
The person in this role will uphold the culture of Utilitra, including relationship building with customers as well as general behavior on Utilitra or client premises or at other Utilitra-sponsored events.
Requirements/Qualifications:
- A High School diploma or equivalent is required, with further education or certifications in administrative support or project management seen as a plus.
- At least one (1) year of data entry or administrative experience is preferred. Experience in a project-driven environment is beneficial.
- Excellent typing skills and proficiency in Microsoft Office Suite, especially Excel, are critical. Familiarity with project management software or databases is advantageous.
- Must have excellent verbal and written communication abilities. Effective interaction with team members, contractors, and clients is essential.
- Strong organizational and time-management skills are necessary to manage various tasks simultaneously without compromising on quality.
Physical Requirements:
- Extensive reading of both written figures and words, typed reports, and computer screens.
- Data entry up to six (6) hours per day.
- Phone communication: approximately one (1) hour per day.
- Sitting for prolonged periods in meetings can be four (4) or more hours each day.
- Communicating verbally with other staff, contractors, vendors, and customers continually.
- Occasional lifting up to 10 pounds.
- Occasional stooping, reaching or bending.
Travel Requirements:
- There are no travel requirements for this position, focusing on in-office work.
