JOB TITLE: Research Billing Coordinator
FLSA CLASSIFICATION: Non-Exempt
REPORTS TO: Director of Research
GENERAL STATEMENT OF DUTIES
The Research Billing Coordinator is responsible for managing billing functions associated with the START clinical research program. This role ensures accurate invoicing, proper charge allocation, and compliance with study protocols and insurance requirements.
DUTIES AND RESPONSIBILITIES
- Collaborate with the Regulatory team quarterly to review items requiring invoicing to sponsors.
- Process daily communications from the Regulatory team to invoice applicable items.
- Maintain accurate records of invoiced charges using tracking spreadsheets.
- Review documentation completed by Clinical Research Coordinators for accuracy.
- Analyze study contracts to identify billable items.
- Ensure study-related charges are billed to the sponsor and not to patient insurance.
- Invoice sponsors for patient-related services in accordance with contract terms.
- Verify that all patient insurance charges include appropriate study identifiers.
- Reconcile sponsor payments and maintain accurate accounts receivable (AR) records.
- Track and report monthly and annual accounts receivable.
- Submit check requests for invoices received from external vendors.
- Create tracking spreadsheets for newly initiated studies.
- Collaborate with the Utah Cancer Billing Team to resolve claim denials.
- Review procedures in the billing system using Medicare Coverage Analysis to determine study-paid charges.
- Ensure standard-of-care (SOC) procedures are billed correctly to patient insurance.
- Perform additional duties as assigned by the Director of Research.
QUALIFICATIONS AND EXPERIENCE
- Ability to work independently and collaboratively within a team environment.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Self-motivated with the ability to manage multiple priorities.
- Proficiency in Microsoft Excel and Word.
- Ability to analyze data and identify discrepancies or issues.
- Previous experience in medical billing and/or accounting preferred.
EDUCATION/TRAINING REQUIREMENTS
High School Diploma or equivalent required.
TYPICAL PHYSICIAL REQUIREMENTS
Prolonged periods of sitting in an office environment. Frequent use of computer, calculator, and standard office equipment requiring manual dexterity.
