Role Description This full-time Assistant role is an on-site position based in Dallas, TX. The Assistant will provide day-to-day administrative support to clinical, academic, or research teams, including managing calendars, scheduling meetings, and coordinating events. Responsibilities may include preparing and formatting documents, reports, and presentations; handling phone calls, emails, and visitor inquiries; and organizing and maintaining records, files, and databases. The role may support basic financial and operational tasks such as processing invoices, tracking expenses, and assisting with supply orders. The Assistant will collaborate with team members across departments, follow institutional policies and procedures, and contribute to a professional, patient- and learner-centered environment.
Qualifications
- Strong administrative and organizational abilities, including calendar management, scheduling, document preparation, and accurate recordkeeping.
- Proficiency with office productivity tools (e.g., Microsoft Office or similar), basic data entry, and comfort learning new software systems or electronic record platforms.
- Effective written and verbal communication skills, with the ability to interact professionally with patients, learners, faculty, staff, and external partners.
- Demonstrated attention to detail, time-management skills, and the ability to manage multiple tasks and priorities in a fast-paced environment.
- Ability to work both independently and collaboratively, maintain confidentiality, and follow established procedures and guidelines.
- High school diploma or equivalent required; some college coursework or an associate or bachelor’s degree in a related field is preferred.
- Previous administrative or customer service experience in healthcare, education, or a large organizational setting is beneficial.
