The Administrative Assistant supports the Lymphoma and Myeloma Department within the Cancer Medicine Division by providing comprehensive administrative support in a fast-paced clinical and academic environment. The Administrative Assistant works closely with departmental leadership, faculty, and colleagues to support patient care operations, research coordination, and academic activities while maintaining professionalism, accountability, and responsiveness. The Administrative Assistant plays a critical role in ensuring the daily administrative functions of the department operate efficiently and consistently.

The ideal candidate for this role has appropriate education and administrative experience supporting healthcare, academic, or complex office environments, demonstrates strong service orientation and clear written and verbal communication skills, and possesses the ability to manage multiple priorities independently. Experience in healthcare or academic medicine environments and any relevant administrative licenses or certifications are preferred.

Salary Range (Annual): Minimum $41,000 - Midpoint $51,000 - Maximum $61,000

The typical work schedule is Monday - Friday with one day onsite.

Responsibilities

Calendar, Travel, and Leave Coordination

  • Maintain assigned faculty calendars and schedules for program-related appointments
  • Coordinate domestic and international travel, including reservations, reimbursements, calculations, and check requests
  • Track physician development leave and travel accounts and manage related documentation
  • Coordinate and process all leave requests using WebSchedule and Concur prior to leave start dates
  • Partner with faculty practice support coordinators to block clinic schedules and arrange coverage
  • Independently manage work priorities, deadlines, logs, and follow-up tracking systems

Meeting and Conference Support

  • Schedule and organize programmatic meetings and conferences for assigned faculty
  • Provide logistical support for clinical, research, committee, and conference-related meetings
  • Prepare meeting materials and ensure readiness for faculty-led sessions
  • Take, distribute, and follow up on meeting minutes and action items
  • Serve as back-up support for departmental meetings and conference room scheduling

Administrative and Document Production

  • Compose formal and informal correspondence in support of faculty and program needs
  • Perform word processing and complete institutional forms in compliance with policy
  • Compile reports and create slides and presentation materials
  • Maintain faculty curriculum vitae in the Faculty Information System format on the network

Purchasing, Reimbursement, and Fiscal Coordination

  • Prepare purchase requisitions, print shop requests, and order forms for authorized signature
  • Process travel requests and reimbursements accurately and timely
  • Prepare forms for license renewals for assigned faculty
  • Monitor and reconcile assigned cost center budget activity, including projections and reports
  • Track faculty expenditures and maintain expenditure files and monthly reports

Standard Communication and Service Support

  • Communicate clearly and professionally in person, by phone, and in writing
  • Maintain accurate logs and tracking systems to report project status and timelines
  • Provide responsive service support to faculty, leadership, and colleagues
  • Perform additional duties as assigned in support of departmental operations

EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Bachelor's Degree

Work Experience

  • Required: Four years Administrative/secretarial experience or no experience required with preferred degree.

OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
