The Claims Administrative Assistant provides support to the Claims Department by performing administrative and clerical tasks related to processing insurance claims. This role is critical in ensuring the smooth handling of claims files, documentation, and communication between internal teams, adjusters, and customers.
Key Responsibilities:
- Perform general administrative duties such as filing, scanning, data entry, and managing electronic claim files.
- Assist claims adjusters and examiners with daily tasks, including documentation and correspondence.
- Maintain accurate and up-to-date claim records in the system.
- Answer incoming calls and emails, providing timely assistance or routing them to the appropriate team member.
- Prepare letters, reports, and other documents as required.
- Monitor and follow up on claim documentation and ensure timely processing.
- Communicate with policyholders, agents, and service providers in a professional manner.
- Maintain confidentiality of sensitive information and adhere to company policies and compliance standards.
- Support special projects and other duties as assigned by the Claims Manager.
Qualifications:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
- 1-2 years of administrative or customer service experience, preferably in insurance or a related field.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office (Word, Excel, Outlook) and experience with document management systems.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Dependable, punctual, and able to work independently and as part of a team.
Preferred Skills:
- Experience in the insurance industry, particularly in auto claims.
- Familiarity with insurance claims software (e.g., Guidewire, ClaimCenter, or similar platforms).
- Bilingual (English/Spanish) a plus.
