Front-Line Appointment Setter & CRM Coordinator
We’re looking for a motivated Lead Management Specialist to take ownership of our inbound leads and turn them into booked appointments. This is a front-line position that shapes the customer’s first impression of our company — so we need someone who loves talking to people, thrives in a fast-paced office environment, and has a natural sales-minded approach to conversations.
This is NOT a typical office manager job.
This is a lead management, follow-up, and appointment-setting role.
What You’ll Do
You are the heartbeat of our sales pipeline. If a lead isn’t handled quickly, professionally, and with energy — it’s gone. We need someone who takes pride in owning that process and loves turning inquiries into fully booked appointments.

What You’ll Do
- Manage all inbound leads from multiple sources (web inquiries, call-ins, lead gen partners — no cold calling, ever).
- Serve as the first voice of the business—professional, friendly, confident, and quick on the draw.
- Operate and maintain two key platforms:
- Our CRM
- Our Speed-to-Lead Pipeline Manager (automated texting, calling, emailing)
- Our Speed-to-Lead Pipeline Manager (automated texting, calling, emailing)
- Set high-quality appointments for our sales team by building rapport and educating prospects on the value of our services.
- Rehash old leads and past estimates to bring deals back to life.
- Keep data clean, organized, and up-to-date across all systems.
- Monitor lead flow across two territories and ensure nothing slips through the cracks.
- Handle basic office coordination tasks as needed — but your #1 responsibility is lead management and appointment conversion.
- Detail-oriented and extremely organized — you thrive when handling a lot of moving parts.
- A self-starter who doesn’t need to be babysat. You see what needs to be done and do it.
- Great on the phone — confident, clear, polite, and able to guide the conversation.
- You understand customer needs quickly, ask the right questions to thoroughly qualify each lead, and confidently move the right prospects into scheduled appointments. A quick learner who picks up new software, scripts, and processes fast.
- Experienced with Microsoft Office and comfortable navigating a PC and using browser-based tools.
- Able to juggle multiple leads and tasks without losing track or getting overwhelmed.
