As Administrative Assistant to two department heads within our Fleet Services and Operations groups, you will be the linchpin of daily operations, ensuring seamless coordination, communication, and execution of high-impact activities. This role requires discretion, agility, and a deep understanding of the energy sector’s pace and complexity. We are seeking a highly organized, proactive, and discreet individual. This role demands exceptional communication skills, strategic thinking, and the ability to manage complex schedules and sensitive information. Duties And Responsibilities
Calendar & Schedule Management: Coordinate meetings, appointments, and travel arrangements across multiple time zones, when needed.
Communication Liaison: Serve as the gatekeeper and point of contact with internal/external stakeholders.
Meeting and Report Preparation: Prepare agendas, presentations, reports, and briefing materials; take notes and follow up on action items.
Travel & Conference Coordination: When requested, organize complex travel, including itineraries, accommodations, and logistics for large groups of employees across the United States.
Confidential Support: Handle sensitive information with discretion and maintain confidentiality at all times.
Project Assistance: Support strategic initiatives and cross-functional projects as needed.
Expense Management: Process reimbursements and manage expenses.
Office Operations: Assist with administrative tasks such as filing, scanning, correspondence, and document management. Organize, track, and facilitate execution of incoming documents for signature by Manager. Provide front desk support when needed to assist other office admins.

Skills / Capabilities And Education
- Minimum of 2 years supporting senior leaders in a fast-paced corporate environment.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and calendar management tools (e.g., Outlook, Teams, Zoom).
- Familiarity with SAP or similar ERP systems desired.
- Ability to anticipate needs, think critically, and offer solutions.
- High level of professionalism and emotional intelligence.
- Ability to create effective and concise reports.
- Conditions are normal office settings.
- Occasional overnight travel may be required.
- Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
- Periodic lifting requirements up to 25 pounds.
