Job Summary:
We are seeking a detail-oriented and experienced Medical Office Manager to oversee the daily non-clinical operations of our cardiology practice. This role is responsible for managing a team of 25 staff members and ensuring efficient workflows, regulatory compliance, and a high-quality patient experience. Proficiency in eClinicalWorks (eCW) EMR is essential.
Responsibilities:
Leadership & Staff Management:
- Supervise administrative and front office staff.
- Coordinate hiring, onboarding, training, and performance reviews.
- Manage staff schedules and ensure adequate coverage.
Operations Oversight:
- Oversee scheduling, patient flow, and front desk operations.
- Ensure accurate documentation and records management using eClinicalWorks (eCW).
- Maintain office supplies, equipment, and vendor relationships.
Billing & Financial Coordination:
- Collaborate with billing team to monitor claims, collections, and reimbursements.
- Assist with financial reporting and budget tracking.
Compliance & Quality Assurance:
- Ensure HIPAA compliance.
- Implement and monitor office policies and procedures.
- Prepare for audits and inspections.
Patient Experience:
- Resolve patient concerns and improve service delivery.
- Monitor patient satisfaction and implement feedback-driven improvements.
Technology & Systems:
- Manage and optimize use of eClinicalWorks (eCW) EMR system.
- Train staff on eCW workflows, updates, and troubleshooting.
- Coordinate with IT support for system maintenance and upgrades.
Requirements:
- High School diploma and/or associate's degree
- 3–5 years of experience in medical office management, preferably in a specialty practice.
- Proficiency in eClinicalWorks (eCW) EMR system required.
- Strong leadership, communication, and organizational skills.
- Knowledge of medical billing and insurance processes.
- Ability to manage multiple priorities in a fast-paced environment.
