Job Summary
We are seeking a detail-oriented and organized State Filing Specialist to join our State Filing Department. In this role, you will manage state-specific filings to ensure compliance with Department of Transportation (DOT) regulations for our transportation operations. The position involves a high volume of administrative tasks, including thorough document review, data entry, record maintenance, and coordination with various state agencies. No prior experience in DOT compliance or specific filings is required—we provide comprehensive on-the-job training. Key Responsibilities
- Prepare, submit, and track state-specific filings related to DOT compliance, including permits, registrations, licenses, mileage reporting, and other required documentation for multiple states.
- Review incoming documents for completeness, accuracy, and compliance with federal (FMCSA) and state-specific DOT requirements.
- Maintain organized electronic and/or physical records of all filings, correspondence, and supporting documentation.
- Monitor deadlines for renewals, updates, and submissions to ensure timely compliance and avoid penalties.
- Research and stay updated on changes in state DOT regulations and filing requirements (with guidance and resources provided).
- Coordinate with internal teams (e.g., operations, safety, and finance) to gather necessary information and resolve discrepancies in documentation.
- Respond to inquiries from state agencies and assist with audits or requests for information.
- Perform data entry, filing, scanning, and other administrative tasks to support department efficiency.
- Identify and report potential compliance issues, recommending process improvements as needed.
Qualifications
- High school diploma or equivalent required; Associate's degree in business administration, logistics, or a related field preferred.
- 1-3 years of experience in administrative roles strongly preferred (e.g., data entry, document management, or office support).
- No prior knowledge or experience in DOT/FMCSA regulations or state-specific transportation filings is required—full training will be provided.
- Familiarity with transportation compliance is a plus but not necessary.
- Strong attention to detail and ability to review complex documents accurately.
- Excellent organizational and time management skills, with the ability to handle multiple tasks and deadlines.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and comfort with data entry or document management systems.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team in a professional office environment.
Preferred Skills
- Experience in a regulated industry or with regulatory filings (helpful but not required).
- Knowledge of transportation industry software or compliance tools.
