Job Summary
We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team In this vital role, you will oversee daily office operations while managing financial records with precision and care. Duties
- Manage day-to-day office operations, including front desk duties, multi-line phone systems, and greeting visitors with professional phone etiquette and warm hospitality
- Oversee scheduling and calendar management for staff appointments, meetings, and events; coordinate logistics for company functions and community events
- Supervise administrative staff and provide training & development to foster team growth and ensure high performance
- Maintain accurate bookkeeping records using QuickBooks or similar accounting software; handle invoicing, expense tracking, and financial reconciliations
- Manage vendor relationships, negotiate contracts, process payments, and ensure timely delivery of supplies and services
- Oversee human resources functions such as onboarding new employees, maintaining personnel files, managing payroll processes, and supporting employee relations
- Handle budgeting tasks by monitoring expenses, preparing financial reports, and assisting with financial planning efforts
- Organize filing systems—both digital and physical—and ensure compliance with recordkeeping standards in a medical or professional office setting if applicable
Qualifications
- Proven experience in office management or administrative roles within a professional environment
- Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software
- Demonstrated supervising experience with the ability to lead and develop teams effectively
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Exceptional organizational skills with keen attention to detail; adept at schedule management and multi-tasking under pressure
- Knowledge of vendor management processes, budgeting principles, and human resources practices
- Experience in event planning, training & development programs, and office procedures such as filing systems and front desk operations
- Familiarity with medical office management or similar environments is a plus but not required
