Position Summary
The Referral Coordinator is responsible for ensuring all required patient referrals are obtained, verified, and documented prior to scheduled services. This role plays a critical part in supporting revenue cycle operations by preventing delays in care and reducing claim denials related to missing or incomplete referrals.
This position requires strong communication skills, attention to detail, and the ability to collaborate with patients, provider offices, and internal teams.
Essential Duties & Responsibilities
Referral Management (Primary Function)
- Verify whether active referrals are on file using payer portals, EMR systems, and internal tools
- Contact Primary Care Physician (PCP) offices to request and obtain referrals
- Proactively reach out to patients regarding referral status prior to appointments, procedures, or surgeries
- Ensure all referrals are accurate, valid, and aligned with scheduled services
Documentation & Communication
- Maintain detailed and accurate documentation of all outreach efforts
- Record communications with PCP offices, patients, and payers in the system
- Escalate issues impacting patient scheduling or care in a timely manner
Insurance Verification (as needed)
- Verify eligibility and benefits via payer portals or phone
- Document coverage details in the practice management system
- Communicate patient financial responsibility when applicable
- Identify outstanding balances and notify appropriate teams
Department Support
- Answer incoming calls and assist with patient inquiries related to referrals or benefits
- Provide cross-coverage for scheduling or departmental needs
- Participate in administrative duties (fax processing, shared responsibilities, etc.)
Work Environment & Physical Demands
- Primarily sedentary, office-based role
- Frequent use of computer, phone, and office systems
- Minimal lifting requirements
- No travel required

Qualifications:Position Requirements
Education & Experience
- High School Diploma or equivalent required
- Minimum 1 year of healthcare experience preferred
- Experience with insurance verification and referral processes strongly preferred
