Job Overview:
We are a leading urgent care organization committed to delivering exceptional healthcare services to our communities. We are seeking a highly organized, proactive, and resourceful Executive Assistant to primarily provide high-level support to the CEO and the urgent care executive team but also support the CEO in his external business initiatives.
Candidate must be able to wear different hats throughout the day to assist the CEO and to support our organizational plans. This is a vital role that requires strong organizational skills, attention to detail, and the ability to multitask effectively.
Medical office experience is highly desirable but not required.
Job responsibilities include but are not limited to:
- Support CEO and executive team with human resources functions, which include, but are not limited to employee data management, filing and record keeping, and act as a liaison for employees and management.
- Ensures the coordination and completion of all daily, weekly, monthly checklists as outlined by Operations Manager.
- Interface with and be a point of contact for various vendors.
- Serves as a liaison with bookkeeping and payroll consultant and ensures coordination of all payables.
- Maintain business documents, including banking and tax documents, assist in the preparation of bank deposits, carry out other responsibilities necessary for the maintenance of corporate accounts.
- Assist in the coordination of special projects and initiatives.
- Act as a liaison between executives and internal/external stakeholders.
- Organize and maintain filing systems and documents.
- Handle sensitive information with confidentiality and professionalism.
- Manage office support, including but not limited to, telephone coverage, printing, storage and IT coordination.
- Perform general administrative duties as needed.
Qualifications:
- Must be detail oriented, people oriented and team oriented
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to handle confidential information with discretion
- Ability to anticipate needs, prioritize tasks, and adapt to a dynamic environment.
