Front Desk & Patient Experience Coordinator
Uptown Eyecare & Eyewear Gallery | St. Petersburg, FL 33701
Pay: $16–$18 per hour, depending on experience
Part-time with anticipated growth to full-time
A friendly voice and a warm welcome make all the difference.
Uptown Eyecare & Eyewear Gallery is a new, independently owned optometry practice and boutique eyewear gallery in Historic Uptown St. Petersburg. We’re creating a place where patients feel personally cared for and employees enjoy working together.
We’re looking for someone who enjoys talking with people, makes others feel comfortable, and brings warmth and professionalism to every interaction - especially on the phone. You’ll often be someone’s first introduction to Uptown, and we want that experience to feel welcoming, helpful, and unhurried.
You’ll join our small founding team, working closely with owner and optometrist Dr. Dane Kuplicki and our optical lead.
Medical or optometry experience is not required. We welcome applicants from hospitality, retail, reception, and other customer service backgrounds. We’ll provide training on our office systems and procedures.
Schedule
● Monday: 8:30 a.m.–5:00 p.m.
● Wednesday: 9:30 a.m.–6:00 p.m.
● Friday: 8:30 a.m.–5:00 p.m.
We anticipate gradually expanding this position to full-time within the first few months as the practice grows. We’re looking for someone interested in growing with us and available to add days. Timing and additional days will be discussed together as staffing needs develop.
What you’ll do
● Greet patients and visitors kindly and help them feel welcome.
● Answer phone calls with a friendly, engaging tone, listen carefully, and help callers understand their next steps.
● Schedule appointments and manage patient messages, confirmations, and reminders.
● Assist with check-in, checkout, updating patient information, and collecting payments.
● Verify insurance information and assist with submitting insurance claims after training.
● Coordinate with the doctor and optical lead to keep patient visits running smoothly.
● Follow through on questions and outstanding tasks, keeping patients informed.
● Assist with stocking supplies and routine inventory tasks.
● Maintain a clean, organized, inviting reception area and workspace.
● Share ideas and lend a hand to teammates when needed.
What matters most to us:
Warmth and an outgoing phone manner. You enjoy conversations, sound approachable, and help people feel comfortable asking questions.
Patience and composure. When someone is confused, worried, or frustrated, you listen, remain courteous, and focus on helping. You know when to ask a teammate or the owner for support.
A customer service mindset. You take satisfaction in making someone’s day easier and following through on what you promised.
Organization and reliability. You notice details, arrive prepared, and can balance phone calls, arriving patients, and office tasks.
Willingness to learn. You’re comfortable with computers, open to feedback, and willing to ask questions while learning something new.
Respect for others. You handle patient information discreetly and communicate thoughtfully with patients and colleagues.
What it’s like to work at Uptown:
We value excellent care, honest communication, and teammates who support one another. We’ll provide clear expectations, hands-on training, and opportunities to contribute as the practice grows.
We also want to enjoy our days together. There’s room for personality, appropriate humor, appreciation, and celebrating everyday wins. When challenges come up, we talk about them respectfully and work through them together.
As a founding team member, your ideas will help shape our office routines and the experience patients have from their first phone call onward.
