Summary
The Office Lead is critical in ensuring the back office maintains a steady flow of rooming and the day-to-day operations of patients seen for office visits. This position demonstrates a high knowledge of all elements and duties of a Medical Assistant and Patient Service Representative, including a high level of functioning within the electronic medical record to mitigate disruptions in the flow of patients through the health center. They are also relied upon for managing the ordering and stocking of medical supplies and ensuring that all back-office tasks are completed promptly and competently. This position is responsible for supporting the daily operations of the front office including greeting patients, answering the telephone, scheduling and confirming appointments, registering and updating information, providing information, and collecting payments.
Essential Functions
General
Maintains a safe, secure, and healthy environment by adhering to organization standards, policies, and procedures, and to legal regulations; alerting others with potential concerns.
Communicates in a professional, clear, effective, and compassionate way with patients, visitors, and coworkers. Both in person, on the telephone, and with written communication.
Assists with training all new hires in clinic operations and competencies.
Proper and accurate documentation within the electronic medical record: recording patient examination, treatment, and test results.
Maintains patient confidentiality and protects medical office operations by keeping information confidential; cautioning others regarding potential breaches.
Participates in huddles daily, per huddle procedure.
Attends required staff meetings, standard work meetings, and associate training events
Back Office
Maintains a clean work area and lab: Clean and stock the rooms in accordance with the Kanban system.
Assists with contraception coordination, including understanding and training of guidelines, ordering, and stocking.
CLIA waived testing.
Responsible for weekly QCs
Responsible for the storing and organization of all medical supplies.
Oversees the auditing of exam rooms for expired items.
Infection prevention instrument management
Standard Medical Assistant duties
Front Office
Confirms patient appointments according to office procedure, Pre-Registration
Posts co-payments at registration; batches daily production and balances user batch report by end of shift. Submits to management/designated person daily at end of shift
Responsible for the complete and accurate gathering and system inputting of patient demographic, insurance, and financial information with regard to specific age of patients (geriatric, adolescent, pediatric, or their surrogate decision makers)
Schedules and confirms appointments, distributes daily and updated schedule to providers and staff.
Verify insurance and method of payment, collects fees, co-payment, and payments on account
Introduces and greets patient in a prompt and pleasant manner
Qualifications
Required
Completion of an accredited medical assistant program
Basic Life Support (BLS) for Healthcare Providers required
High School diploma or GED equivalent required
One year of experience in healthcare
Preferred
Certification through the Certifying Board of the American Association of Medical Assistants
Two years experience in integrated healthcare or primary care.
Experience with Epic application and heath record.
Experience working with and sensitivity toward special populations, including those with limited income, limited education, and non-English speaking individuals.
Bilingual English / Spanish, complete comprehension, literacy and fluency in both languages
