Purpose & Job Summary:
The Personal Executive Assistant is responsible for providing comprehensive administrative and personal support to the CEO & GM, ensuring seamless coordination of their professional and personal schedule. The role is critical in enhancing the productivity by managing day-to-day tasks such as calendar scheduling, meeting coordination, and handling correspondence. Additionally, this role supports errands, correspondence, scheduling, light financial bookkeeping -all while maintaining confidentiality in all aspects of their duties. The Personal Executive Assistant is the key partner in ensuring time is effectively managed.
Key Responsibilities:
These responsibilities are subject to change based on the CEO (and GM as needed)
· Calendar Management: Coordinate and maintain the CEO & GM’s calendar, schedule meetings, appointments, and events while ensuring there are no conflicts.
· Email & Communication: Manage the CEO & GM’s inbox by prioritizing emails, responding on their behalf, and ensuring timely follow-ups on communications.
· Meeting Coordination: Schedule, confirm, and prepare materials for meetings, including internal team meetings, client discussions, and conference calls.
· Travel Coordination: Arrange travel, including flights, accommodation, and transportation.
· Personal Errands: Handle personal tasks such as running errands and arranging appointments.
· Financial Support: Provide light bookkeeping support to our offsite CEO firm.
· Confidentiality: Handle sensitive information with discretion and maintain strict confidentiality regarding both business and personal matters.
· Office & Task Management: Ensure the CEO & GM is prepared for daily tasks and projects, maintaining an organized to-do list and prioritizing their workload.
· Project Research: The ability to use online and other resources to explore and discover information for special projects the CEO or GM may need.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Exceptional organizational and time-management skills, with a proven ability to multitask.
- Strong interpersonal skills to communicate effectively.
- High level of confidentiality and professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office tools.
- Experience in handling basic bookkeeping or financial tasks is a plus.
- Proficient in writing (free hand is welcomed for notetaking)
- Strong problem-solving skills, with an approach to addressing issues before they arise.
- Ability to work independently, prioritize tasks, and maintain a high level of attention to detail.
- Flexibility in adapting to changing priorities and schedules.
Preferred Skills:
- Familiarity with travel arrangements and logistics.
- Experience in managing personal errands or tasks for executives.
- Knowledge of financial reporting.
- The ability to professionally communicate clearly and be well-spoken.
- Proficiency in writing (notetaking, short speeches, etc…)
Working Conditions:
- Office-based, with local travel and personal errands.
- Full-time position with flexible hours based on the CEO’s schedule with a one-hour lunch break.
