Front Desk Representative – Outpatient Services

Position Overview

UPMC Hamot is seeking a friendly and detail-oriented Front Desk Representative to support our outpatient Audiology, Speech Pathology, and EEG offices located within the hospital. This role is ideal for someone looking for a consistent weekday schedule with no evenings, weekends, or holidays—while making a meaningful impact on the patient experience.
You’ll be a key point of contact for our patients and providers, ensuring appointments, registrations, and administrative processes are handled accurately, efficiently, and with compassion.
Schedule
- Monday–Thursday: 1:00 PM – 5:00 PM
- Friday: 9:00 AM – 1:00 PM (some flexibility with Friday hours)
- No evenings, weekends, or holidays required
Responsibilities
- Register and schedule patients using computerized scheduling and registration systems.
- Coordinate appointments across multiple outpatient services, ensuring correct sequencing, location, preparation, and timeliness.
- Obtain and verify accurate demographic, insurance, and financial information to support appropriate reimbursement.
- Contact patients to schedule and confirm appointments.
- Secure referrals, insurance authorizations, waivers, and medical necessity documentation as required.
- Review and check charges; perform data entry of daily charges with quality assurance.
- Maintain and modify scheduling templates in collaboration with leadership and Information Systems.
- Compile daily schedules and track statistical data.
- Distribute medical reports within 24 hours of receipt in accordance with HIPAA regulations.
- Order and replenish office supplies and equipment.
- Communicate effectively and professionally with patients, families, providers, and coworkers.
- Demonstrate UPMC Hamot’s commitment to service excellence through accuracy, timeliness, sensitivity, and coordination.
