The Opportunity
We are seeking a meticulous, dependable Administrative & Finance Coordinator to own the day-to-day administrative and financial backbone of the company. This is a high-volume, detail-driven role for someone who keeps everything accurate, current, and on schedule — and who wants to grow into running the function as the company scales.
You will work inside well-built systems, with clear processes and the support of our accountant. Your job is to execute them flawlessly: keep the books current, keep every obligation on track, and make sure nothing falls through the cracks.
Position Responsibilities
- Maintain accurate, up-to-date books in QuickBooks — record vendor bills, manage accounts payable and receivable, and reconcile accounts
- Record and allocate costs to the correct projects, keeping financial records precise and current
- Process payroll and related filings
- Stay ahead of recurring obligations — insurance renewals, certificates, licensing, and required filings — using our internal tracking systems
- Maintain organized, audit-ready records and documentation
- Handle administrative and HR paperwork — onboarding documents, records, and benefits administration
- Provide ownership and our accountant with accurate, timely information
Requirements
- Bachelor's degree (accounting, finance, business, or a related field)
- 2–3 years of bookkeeping or administrative experience
- Proficiency in QuickBooks
- Exceptional attention to detail and accuracy — this role lives on getting the small things right, every time
- Strong organization and follow-through; you keep work current and never let it pile up
- Comfortable with technology and quick to learn new systems
- Reliable and disciplined under a high volume of recurring tasks
Preferred
- Experience in a construction, contracting, or other project-based business
- Familiarity with QuickBooks project/job tracking
- Experience working alongside an outside accountant or CPA
