University Prep Schools is excited to launch a new role for Summer 2025: the Summer Discovery Operations Coordinator. This role plays a vital part in ensuring smooth, efficient operations within our various summer school sites and programs.

Please note this position is contingent upon final student enrollment numbers, which directly impact Summer Discovery program funding.
There are multiple positions with the Operations Coordinator role. For Summer Discovery at the elementary and middle school level, there is an AM position (8:15am - 1:30pm) and a PM position (12:30pm - 5:30pm) available. If you are interested in being an operations coordinator for the entire Summer Discovery Day (8:15am - 5:30pm), please apply to both positions and know that you would be compensated for both roles.
Summary:
- Supports the daily operations of the Summer Discovery program.
- Manages logistical tasks such as attendance tracking, parent communication, and phone/email coverage.
- Ensures smooth and efficient day-to-day operations.
- Allows academic directors to focus on instructional leadership and teacher coaching.
- Serves as a central point of contact for students, families, and staff regarding logistics and operational needs.
Duties and Responsibilities:
- Serve as the first point of contact for incoming calls, parent questions, and general inquiries during summer school hours.
- Support daily student attendance tracking and ensure accurate data entry in coordination with the attendance agent.
- Assist with student check-in and dismissal processes.
- Support communication with families regarding absences, early pickups, or program logistics.
- Monitor and respond to emails and voicemails for the summer school program
- Ensure classrooms and supplies are set up each day and assist with organizing necessary materials.
- Help coordinate coverage and support logistics for substitute teachers as needed.
- Collaborate with academic directors to anticipate and solve daily operational issues.
- Support coordination of special events, field trips, and enrichment activities as needed.
- Other duties as assigned by the Summer School Academic Director or Home Office.
Qualifications:
- Previous experience in school-based operations, or a similar role.
- Strong organizational skills and attention to detail.
- Experience working in K–12 educational environments.
- Ability to build positive relationships with families, staff, and students.
- Proficient in Google Suite (Docs, Sheets, Calendar) and comfortable with basic data entry and communication systems.
- Calm and solution-oriented when addressing unexpected issues or parent concerns.
Compensation:
- Stipend: $4,625 (includes 20 hours of planning and preparation)
- Attendance Bonus: $1,000
- Impact Bonus: $4,000
- Potential Total Compensation: $9,625 - Paid in two installments: July 15th and July 31st
Schedule:
- Dates: June 22 - July 22nd (July 2-3 are days off)
- Work hours: Monday -Friday 8:15 a.m. – 1:30 p.m.
- *employees must be in attendance for every day of the summer program.
