Job Summary
The successful candidate will provide administrative support for the Department of Radiology. This position will be a 1.0 FTE working 40 hours per week. Days/hours to be determined once hired and trained. The candidate will maintain office functions, section, and project support. The candidate will maintain compliance with all federal, state, university, and department rules and regulations. Provide excellent communication, organization, and time management skills in support of the faculty and administration in the Department of Radiology.

EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor’s degree = 4 years of directly related work experience).

Administrative Assistants, II: Requires at least 1 year of related experience.
Administrative Assistants, III : Requires 3 years of related experience.
Administrative Assistants, IV: Requires 5 years of related experience.

Responsibilities
Essential Functions:
- Acts as the first point of contact for the department.
- Delivers expert calendar management, clinical scheduling (Qgenda), preparing agendas, and takes detailed minutes for meetings.
- Provides excellent organizational support for faculty, sections, and department.
- Ability to coordinate meetings with multiple stakeholders internal/external to department and university.
- Provides support to section faculty (and prospective faculty), chief, and fellowship program director; including but not limited to managing special projects, scheduling meetings, reimbursement processing, travel arrangements, and event planning.
- Maintains and updates faculty CVs in the U-CV system.
- Ability to provide statistical reports to assess the clinical schedule/needs of each faculty member and section within Qgenda.
- Arranges travel and expenses travel for faculty within the Concur Travel system and within university guidelines.
- Maintains purchasing card for purchases for the section faculty, chief, fellowship program and other items that arise.
- Maintains knowledge of university purchasing procedures and documentation requirements.
- Facilitates onboarding/Offboarding of new faculty, APCs and staff.
- Assist fellowship programs with conference schedules, tracking, graduation, and ACGME requirements.
- Provides support and assistance regarding faculty scheduling to other department stakeholders as applicable.
- Other duties as assigned.
