- An exception applies when preparing for an upcoming conference:
- Remote work is not permitted 30–60 days prior to a conference due to duties that cannot be completed remotely.
- Occasional overnight travel and non-standard work hours to execute multi-day events.
Salary
Salary is commensurate based upon qualifications and relevant experience up to $53,999.

Job Summary
The Conference and Events Coordinator II for Extension and Extended Campus will provide professional and administrative coordination for assigned ongoing special projects in the Conference and Event Management (CEM) program. Creates and manages in person and hybrid events strategically using appropriate and various platforms and Cvent registration software. Maintains effective relationships and frequent and clear communication with management, vendors, sponsors, advisory board members and other stakeholders to ensure the achievement of CEM goals and objectives. Assists in the successful execution of all event details and timelines.
Essential Duties and Responsibilities
- Develop and oversee the planning, implementation, and tracking of in person and hybrid events from inception to completion.
- This includes collaborating with staff and clients throughout the event’s design to ensure a seamless experience.
- Act as the producer for live events and advisory board calls using communication tools such as Microsoft Teams, Zoom, and Cvent Attendee Hub.
- Ensure all event content is published to university standards and meets accessibility requirements.
- Update and maintain event-related data in Cvent and Modern Campus systems.
- Monitor event websites daily to ensure accuracy and recommend necessary updates.
- Collaborate with leadership and marketing to develop communications that align with brand guidelines and effectively communicate the organization’s message and values.
- Assist with marketing coordination for event promotion, including social media.
- Produce reports, tools, processes, and resources as requested to ensure successful event implementation and management.
- Develop and manage CEM contact lists and associated accounts.
- Assist with the management of CEM daily administrative support.
- Provide support to other division events as necessary or assigned.
Minimum Qualifications
- Bachelor’s degree in a related field.
- Two years (2) years of program coordination or project management or the equivalent experience or an equivalent mix of education and relevant experience in similar role.
Preferred Qualifications
- Four (4) years of experience in higher education.
- Three (3) years proficiency in event management software such as Cvent and or Modern Campus registration system.
- Proficiency with Office, Google Docs, and Adobe Creative Suite products.
Knowledge, Skills and Abilities
- Knowledge and expertise in project management and event production, with a focus on hybrid events from planning through execution.
- Proficient in event management software Cvent, as well as communication tools Microsoft Teams and Zoom.
- The ability to produce reports, processes, and resources is also essential for this position.
- Strong communication skills, high level of accuracy, and act as primary point of contact, collaborating with marketing and leadership on brand-aligned communications, and provide excellent customer service to both internal and external stakeholders.
- Demands a high level of data management proficiency, including updating and maintaining information in Cvent, and Modern Campus, monitoring event websites for accuracy, and managing contact lists.
- Knowledge of coordinating marketing and social media promotions for events and providing support to other divisional events as needed.
- Ability to lift and move objects (boxes, containers, etc. up to 15 pounds).
- Ability to stand, bend, and perform repetitive movements as needed.
- Excellent customer service and organizational skills.
- Proficient with common social media methods.
- Proficient with communication tools Microsoft Teams, Zoom, and Cvent Attendee Hub..
