The Administrative Coordinator is responsible for managing administrative operations of the office of fraternity and sorority life. They will play a crucial role in ensuring smooth and efficient office procedures, including oversight of the daily operations of the unit. They manage systems with financial impact to the growing fraternity/sorority community. They create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, safety, and systems.
Primary duties include:
Provide administrative support and utilize campus programs/software for processes with financial impact. Oversee chapter roster updates, process changes, track membership card and billing agreement data for over 10,000 members of the growing fraternity/sorority community.
Serve as the central point of contact for students and guests visiting the office, ensuring front-end office operations are welcoming.
Provide administrative and operational support to the Assistant Dean of FSL by coordinating schedules, preparing documents, maintaining records, responding to inquiries, organizing meetings, and completing assigned administrative tasks to support departmental goals and priorities.
Coordinate office building and property maintenance, manage office supplies and equipment, and ensure a safe and productive working environment.
Provide administrative support by managing email and phones operated by the unit. Have strong working knowledge of systems and processes and be able to quickly answer roster management and billing-related questions to students and families.

Job Related Minimum Required Education and Experience
- Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials
Preferred Qualifications
- Experience in roster or client management systems and/or in customer or client-facing role.
- Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
Knowledge/Skills/Abilities
- Knowledge of Office Administrator responsibilities, systems, and procedures.
- Ability to quickly learn new systems and processes.
- Proficiency in MS Office (MS Excel, Outlook, and Teams in particular).
- Familiarity with email and calendar scheduling tools.
- Excellent time management skills and ability to multi-task and prioritize work.
- Ability to work effectively and build collaborations with all constituencies at all levels in a diverse institution.
