GENERAL RESPONSIBILITIES
In this challenging role, you will be supporting the A&S-Arts & Sciences department at Greenville Technical College. Duties may include any or all of the following.
JOB PURPOSE
The Arts & Sciences Administrative Coordinator provides comprehensive administrative support to the Dean and the division of Arts & Sciences. This role ensures efficient operations, facilitates communication across departments, and supports academic and strategic initiatives. The coordinator serves as a key liaison between faculty, staff, students, and external stakeholders, maintaining a high level of professionalism and confidentiality. The Administrative Coordinator manages day-to-day administrative functions for the Arts & Sciences division, including payroll, budget tracking, event coordination, and academic support.
- Provide comprehensive administrative assistance to the Dean and Assistant Deans, including managing calendars, scheduling meetings, and coordinating travel.
- Prepare and distribute correspondence, reports, presentations, and divisional communications.
- Maintain organized filing systems (digital and physical) and ensure confidentiality of sensitive information.
- Process and log academic misconduct referrals as directed by the Assistant Dean for Academic Affairs.
- Oversee office operations, including supplies, equipment, and mail distribution.
- Maintain Arts & Sciences folders in Teams and other institutional accounts.
- Coordinate Arts & Sciences administrative assistants to meet objectives and deadlines.
- Assist with faculty credential records and performance review documentation.
- Support curriculum-related tasks as designated.
- Create reports and provide documentation from GTC systems, including the student information system.
- Manage and coordinate Greenville Tech system forms, including teaching/office schedules for faculty.
- Be available to faculty to assist with classroom access and technical issues.
- Submit and follow-up on tickets for technical and facilities management.
PAYROLL, BUDGET & FINANCIAL MANAGEMENT
- Review and process adjunct pay agreements, overloads, and dual employment forms.
- Submit monthly payroll reports to Human Resources by the designated due date.
- Manage the School credit card purchases and reconciliation following Greenville Tech and State of SC policies and procedures.
- Assist with budget monitoring and reporting for departmental accounts.
- Process purchase orders, invoices, expense reimbursements, and travel documentation in compliance with institutional and state policies.
- Track expenditures and prepare financial summaries for Dean's approval and submission to Business Office.
- Coordinate print shop requests and related services.
EVENT & PROJECT COORDINATION
- Serve as the calendar manager for building 101.
- Assist with planning and executing division events, meetings, and workshops.
- Coordinate logistics for conferences, guest speakers, and special programs.
- Independently organize and communicate advanced data management and research projects, including enrollment and management reports.
- Provide administrative support for strategic initiatives and special projects as directed by the Dean.
- Lead School team of administrative assistants in college-wide systems and projects.
- Assist with planning and implementing two School meetings per year.
COMMUNICATION & LIAISON
- Serve as the primary point of contact for the Dean’s office, handling inquiries from faculty, staff, students, and external stakeholders.
- Facilitate communication between the Dean, Assistant Deans, faculty, and other college offices.
- Coordinate and prepare divisional mass mailings and manage internal/external communications.
- Ensure compliance with institutional policies and maintain confidentiality in all sensitive interactions.

MINIMUM QUALIFICATIONS
Bachelor's degree in a related field plus two (2) years relevant experience in business management, public administration, or administrative services; or associate's degree plus four (4) years relevant experience in business management, public administration, or administrative services.
PREFERRED QUALIFICATIONS
Previous administrative work in higher education.
