The Administrative Assistant for Athletics Business Office – Sport Operations provides operational, administrative, and financial support for the Athletics Business Office. Will support equestrian and beach volleyball programs to include sport-specific administrative tasks, travel coordination, vendor payment processing, reconciliation of sport card receipts, and official visit support. The role ensures timely and accurate financial transactions in compliance with NCAA, SEC, University of South Carolina, and South Carolina Procurement regulations. Works closely with coaches, departmental staff, procurement offices, and vendors to ensure efficient sport operations and fiscal integrity.
Job Related Minimum Required Education and Experience
- Requires a bachelor’s degree in a job related field and no prior work experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials
Preferred Qualifications
- Experience in administrative, financial/accounting, or payable experience is helpful.
- Experience with public-sector or higher-education procurement and financial processes.
Knowledge/Skills/Abilities
- Demonstrated ability to interpret and apply University policies with departmental policies to ensure the most advantageous purchase or payment through multiple enterprises.
- Proficiency with enterprise systems such as PeopleSoft, Banner, and electronic document management tools.
- Strong analytical and organizational skills with high attention to detail.
- Effective communication and collaboration skills.
- Ability to manage multiple deadlines with accuracy and professionalism.

Process invoices, payment requests, purchase orders, and reimbursements in accordance with SC Procurement Code, University purchasing policies, and internal controls overseen by Senior Associate AD/Business and Finance. Assist with the collection, review, and reconciliation of sport card receipts for assigned sports. Coordinate individual travel processes, including travel authorizations, expense submissions, and required documentation. Coordinate and maintain vendor suppliers to include: Creating and maintaining accurate vendor files. Obtaining price quotes / comparisons as required by University and State Regulations.

Review payment documentation for completeness and alignment with contractual terms; assist in resolving discrepancies and providing supporting documentation for internal review or audit under the supervision of the Senior Associate AD/Business and Finance. Maintain accurate payment records within enterprise systems (PeopleSoft, Teamworks/ARMS, SFAA, etc.) and ensure all financial actions are submitted in a timely and efficient manner. Verify goods and services have been obtained and matching invoices with proof of receipt documents, invoices and outstanding purchase orders as appropriate.
