Under the supervision of the Director of Undergraduate Medical Education (UME), provides administrative support to the Office of Undergraduate Medical Education. Supports pre-clinical faculty and the Assistant Dean of Clinical Learning in delivering and coordinating educational activities for medical students during the pre-clinical phase of the curriculum. Demonstrates commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.
Job Related Minimum Required Education and Experience
- Requires a bachelor’s degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials
Preferred Qualifications
- Bachelor’s degree and four (4) years of related experience in health sciences or healthcare administration, business management, or administrative services; or equivalency.
- Preferred qualifications include knowledge of medical education operations and terminology, experience with Blackboard or other learning management systems, and the ability to work independently with strong organizational skills and attention to detail.

Provides comprehensive administrative support to the Assistant Dean of Clinical Learning and coordinates operational activities for Introduction to Clinical Medicine (ICM I and ICM II) and Clinical Foundations. Responsibilities include coordinating small group sessions and faculty preceptors; requesting reservations for the Clinical Skills Center; posting course syllabi and semester schedules prepared by the Course Director; and coordinates with the centralized student scheduler. Uploads instructional materials to Blackboard; distributes faculty preceptor manuals developed by the Course Director, posts recorded lectures, and presentation materials; and coordinates the scheduling of all guest lecturers, including parking arrangements and educational materials. Tracks attendance for required lectures and learning activities, serves as an exam proctor, assists with grade entry, coordinates lecture logistics including QR code setup and tracking, and serves as the first point of contact for student logistical concerns.

Provides logistical coordination and onsite support for clinical education activities for the Assistant Dean of Clinical Learning, including small group sessions, practice sessions, and Objective Structured Clinical Examinations (OSCEs). Responsibilities include preparation of printed materials, student schedules. patient schedules, and faculty teaching resources; assisting with OSCE administration through management of student flow, session timing, requesting standardized patients; and providing onsite event support. Collaborates with external partners such as LMC, PRISMA, Florence, and physician preceptors to support Early Clinical Exposure (M1) and Clinical Preceptorships (M2). Manages scheduling, evaluations, and communications related to external clinical learning experiences to ensure effective program delivery.
