Responsibilities
GENERAL SUMMARY
Organizes and directs the day-to-day operations of the processing group which is responsible for Payroll processing systems. Exercises knowledge of established guidelines, policies, procedures, and application tools available to ensure the issuance of employee paychecks on time with no exceptions for all customers including employes, departments, and government agencies. Organizes and directs training for payroll staff and user departments, as needed.
Essential Functions
- Directs the gathering, processing, and proper safeguarding of human resources and payroll information required for the preparation of checks.
- Utilizes the Workday Payroll system and UKG timekeeping to ensure accuracy, efficiency, and compliance across all employee groups.
- Applies thorough knowledge of all University payrolls, including University policies and terms of collective bargaining agreements to execute actions and provide/interpret reports.
- Establishes processing schedules and coordinates to ensure timely and accurate flow of data, reviews edit and diagnostic lists, processes file maintenance reports, and retrieves related data.
- Serves as the frontline point of service customer contact in providing information and resolving issues pertaining to payroll applications and transactions.
- Supervises and directs the work of subordinate staff. May supervise temporary staff for special assignments.
- Provides and implements ongoing training programs for Payroll processing staff. Assumes management responsibility of Payroll in the absence of leadership.
- Oversees retro pay analysis to validate calculations, compliance, and effective dating.
- Ensures proper documentation, approvals, and timely corrections in coordination with HR and departments.
- Leads overpayment recovery efforts, including identification, calculation, communication, repayment, and reconciliation in compliance with laws and University policy.
- Maintains repayment plans and collaborates with HR, Finance, and Legal as needed.
- Manages the out-of-state employee roster and tax/jurisdiction compliance.
- Works closely with the HR Service Center to ensure worker data and configurations are updated promptly and accurately.
Minimum Education & Experience
- Bachelor’s degree in disciplines such as business, accounting or computer science. Required
- 2 years of related experience with demonstrated experience in system analysis, methods improvements and administrative data processing applications. Required
- 1 year of supervisory experience. Required
- or equivalent combination of education and experience. Required
