Job Summary
The Sweetland Center for Writing seeks a Student Administrative Assistant with exceptional organizational, communication, interpersonal, and relationship-building skills to serve as our Undergraduate Program Coordinator. This position provides staff support for two of our largest undergraduate programs - the Peer Writing Program and Minor in Writing Program. The coordinator plays an active role in supporting these student-focused programs in collaboration with Sweetland faculty and administrative team. The successful candidate will contribute to our positive and inclusive work community by building partnerships across the university.
Responsibilities*
Key responsibilities of this position include, but are not limited to:
Peer Writing Program (PWP) - 40%
Associate's degree or equivalent combination of education and experience; at least two years of experience working in higher education; excellent written and verbal skills; excellent interpersonal skills and demonstrated ability to work effectively, efficiently, and sensitively with a diverse group of students; demonstrated ability to take initiative, exercise independent judgment, and employ basic reasoning skills; excellent organizational skills and attention to detail; self-starter with the ability to work both independently and as a member of a team; strong commitment to continuous improvement of services and procedures; and experience working with spreadsheets.
Desired Qualifications*
Bachelor's degree; three years of experience working in academic student services; experience supervising undergraduate students; advanced skills in Microsoft Excel; experience with Google
suite applications; experience with M-Pathways curriculum and student administration modules; and knowledge of UM and/or LSA policies and procedures related to curriculum and student services.
Modes of Work
Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
Additional Information
The salary range is $41,600- $52,000. A higher salary may be offered based on equity and the selected candidate's experience.
This position also requires occasional evening or weekend work and the ability to load and transport program materials weighing up to 25 pounds on a cart or other mechanism across campus for various events.
Currently, Sweetland follows a hybrid schedule. There is an opportunity for staff to work remotely up to two days per week during the academic year and up to three days per week during the spring/summer months. This current arrangement is subject to change based on LSA guidelines and unit needs.

- Plan and coordinate recruitment and admission processes including advertising, application process, application scoring, and notifications. Process Writing 300 and 301 course permissions and create admissions reports.
- Plan and assist with welcome and training meetings and other events as needed.
- Coordinate the student hiring process. Create and manage work schedules every term for consultants and receptionists, monitor attendance and shift changes, and approve time for consultants, receptionists, and program assistants.
- Coordinate peer writing consultants' participation in outreach activities. Assist with commencement recognition items.
- Manage compensation and hosting budgets.
- Compile and manage utilization reports and annual consultation metrics.
- Manage administrative aspects of the Minor in Writing program in collaboration with the program director.
- Maintain degree audit details with the Registrar's Office.
- Plan and coordinate recruitment and admission processes including advertising, application process, scoring, notifications, declarations, Writing 220 and 420 course permissions, and admissions reports.
- Plan and coordinate welcome meetings, commencement, and other events as needed.
- Maintain online resources and provide support to faculty advisors regarding student degree audits (e.g., non-LSA students, credits, course sharing, etc.).
- Track progress of Minors to ensure Writing 420 (capstone) offerings meet the demand and issue permissions.
- Hire and train undergraduate MiW student ambassadors.
- Coordinate work assignments and program needs in conjunction with the program director.
- Approve ambassadors' time.
- Provide backup front desk support to the Student Services Assistant. Respond to walk-in questions, manage Writing Workshop questions, changes, and in-person student check-ins.
- Spring/Summer support: Manages Writing Workshop (one-to-one writing consultations with faculty), course enrollment tracking, permissions, and questions. Orders course evaluations for spring courses.
- Provide support to the Academic Program Manager as needed.
- Participate in LUGS (LSA Undergraduate Student Services) meetings to stay up to date on University and LSA policies and best practices.
