What are the responsibilities and job description for the Undergraduate Admissions Counselor position at University of Houston-Clear Lake?

The Undergraduate Admissions Counselor plays a key role in recruiting and enrolling undergraduate students by owning a geographic territory within Harris County, Texas, and nationally. This position serves as the primary point of contact for prospective freshmen and transfer students. Responsibilities include outreach, recruitment travel, relationship management, data-driven strategy, application review, yield initiatives, and financial aid support to meet enrollment goals.

Undergraduate Admissions Counselors are expected to independently manage their territory, cultivate strong school and community partnerships, conduct engaging presentations, analyze funnel data, and contribute to a high-quality student experience. While each counselor will have a primary student population focus (freshman or transfer), all counselors will be cross-trained to support both student types. This position requires extensive travel throughout the year, with evening and weekend work during the peak admission cycle.

Duties:

Offers support on FAFSA completion, scholarships, and financial aid steps. Delivers workshops and presentations and maintains timely follow-up to assist students through the application process.

CRM Management & Communication — Enters and updates student records, interactions, travel, and event details in the CRM. Uses CRM tools to send communications, respond to inquiries, and track student progress. Supports virtual outreach efforts, including webinars and digital messaging.

Data-Informed Recruitment & Forecasting — Reviews weekly funnel metrics and CRM dashboards to track territory progress. Adjusts outreach plans based on application, admit, and yield trends. Identifies areas needing additional attention and communicates updates to the team to support strategic decision-making.

Event Support — Participates in on-campus and off-campus recruitment events such as open houses, campus tours, admitted-student days, and orientations that serve new and transferring students. Coordinates territory-specific programs and counselor events in various locations. Assists in event setup, presentations, and student engagement activities.

Yield & Conversion Strategy—Conducts outreach to admitted students to encourage enrollment, including personalized communication and school visits. Collaborates with financial aid, academic departments, and student services to resolve questions or concerns. Monitors yield data and adjusts engagement strategies accordingly.

Application Review & Yield Strategy — Reviews freshman and transfer applications using established admissions criteria. Evaluates academic records and supporting documents. Identifies applicants needing additional review and communicates trends that may influence recruitment strategies.

Special Projects— Supports recruitment initiatives for special student populations and participates in university committees. Assists with departmental projects, process improvements, and collaborative efforts designed to enhance recruitment operations and student support and performs related duties as assigned.
