Context of Job:
The Office of Undergraduate Admissions receives approximately 40,000 freshman and transfer applications per year, hosts on-campus and off-campus recruitment events (approximately 30,000 visitors/year), and maintains a prospect list of more than 300,000 potential students globally. Under the supervision of the Director of Campus Relations and Visit Experience, the Assistant Director is a critical member of the Visit and Events Team, and responsible for campus tour and student ambassador logistics. This position is tasked with scheduling, implementing, and evaluating information sessions, campus tours, group visits and other programs for prospective and admitted students. The Assistant Director will coordinate logistics for and oversee the day-to-day of a high-volume campus visitor program. The Assistant Director will supervise over 100 students in the Blue Hen Ambassador Tour Guide program, including providing direction to the senior leaders of the program. This role will hire and train the tour guides, develop a tour guide work schedule, provide mentorship, and advise a comprehensive program for new and current Blue Hen Ambassador student tour guides.
Major Responsibilities:
  • Establish a yearly calendar of dates and times for optimal daily visitation experiences for prospective and admitted students and their families, group visits, and transfer admissions sessions.
  • Recruit and hire new student tour guides based on the needs of the program and the goals laid out in the strategic plan.
  • Develop an effective training and evaluation program for new and returning tour guides. Mentor and advise the student tour guide program to develop and maintain tour performance, various professional development skill sets, and collaborative teamwork in the program.
  • Manage the day-to-day of visitation programming execution, including reserving rooms, tour guide shift assignments, coordinating with catering, etc.
  • Manage the Slate/CRM requirements for each visit, including building the visit, registration form, survey, and landing pages. Analyze survey responses and programming trends to continually enhance and strengthen the University of Delaware visitor experience.
  • Develop an annual marketing and communications plan for admissions visits and tours with the admissions Marketing Team.
  • Collaborate with college units to coordinate their programming with experiences offered by the Office of Undergraduate Admissions.
  • Collaborate with campus units for tour guide training, including evaluating the tour routes and continuously update the tour talking points manual. Coordinate with Residence Life & Housing to identify residence hall showrooms for campus tours.
  • Provide support to the University Visitors Center Front Desk staff and reception area.
  • Serve as a member of the Admissions Events Team, supporting logistics for open houses, on-campus and off-campus recruitment and yield events.
  • Serve as a member of the Admissions Committee, review credentials, and make recommendations for admission decisions. Conduct file review for first-year and transfer students, as needed. Perform other related duties as assigned.
Qualifications:
  • Bachelors degree, masters preferred, and three years of direct or closely related experience or equivalent combination of education and experience.
  • Experience with and knowledge of college student affairs, student development, and student programming and mentorship.
  • Strong customer service skills. Strong attention to details.
  • Creative and innovative problem solver and developer.
  • Demonstrated ability to be proactive and reactive to situations during a campus visit and with the student tour guides.
  • Effective written and oral communication and organizational skills.
  • Strong presentation skills required Effective interpersonal skills and ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to multi-task and work independently as a team member to achieve common goals is expected.
  • Knowledge of student recruitment, retention issues and admissions standards is expected.
  • Experience with Slate or another CRM or tour scheduling program is preferred.
  • Experience with event planning is preferred.
  • Experience with the coordination and implementation of campus visit programs is preferred.
