About The Department

Operating since 1927 on a strong foundation of multidisciplinary clinical and academic excellence, the University of Chicago Department of Surgery's mission is to meet the most challenging and complex health problems on both a local and global scale. Many of our faculty members are known for their contributions to the advancement of groundbreaking surgical procedures and techniques, including minimally invasive surgery. In addition to our department's clinical work, our scientists pursue a diverse range of basic, translational, and clinical research projects, including studies on the gut microbiome, tissue bioengineering, stem cell research, cancer, and immunotolerance. Job Summary

The Sr. Research Project Coordinator will oversee the administration and implementation of a multi-site grant award. The successful candidate will provide coordination across multiple research sites and departments, ensuring the smooth execution of projects while managing logistics, timelines, and stakeholder communication. In addition to overseeing the grant’s clinical and research components, the role includes a lab oversight responsibility to ensure compliance of research activities with institutional, state, and federal regulatory policies, procedures, directives and mandates.

Responsibilities

  • Oversees grant project operations, ensuring that grant activities are conducted according to ethical standards, safety protocols, and regulatory guidelines.
  • Maintains accurate and up-to-date documentation for grant project operations.
  • Ensures that all study team members are appropriately trained on protocol and grant activities as required.
  • Monitors grant budgets, supply orders, and ensure cost-effective resource management.
  • Assists in the collection, organization, and analysis of data from multiple sites, ensuring integrity and accuracy.
  • Provide support to clinical research coordinators and research assistants.
  • Prepares reports summarizing research findings, outcomes, and financial expenditures.
  • Supports the preparation of scientific papers, presentations, and other dissemination materials.
  • Manages day-to-day operations of the multi-site grant, ensuring adherence to timelines, budgets, and goals.
  • Serves as the primary point of contact between research teams across Surgery, Neurosurgery, Neurology, and other related departments.
  • Monitors and tracks project milestones, deliverables, and reporting requirements.
  • Assists with the preparation of progress reports and compliance documentation for stakeholders, including funding agencies.
  • Coordinates the scheduling of meetings, teleconferences, and site visits.
  • Facilitates communication and information flow between the different departments and external collaborators.
  • Ensures that all project teams have the necessary resources and information to fulfill their responsibilities.
  • Works with other facilities and externally contracted vendors and sites to complete grant required tasks as needed.
  • Oversees and executes grant proposals, ensuring all milestones and objectives are achieved efficiently and on schedule.
  • Applies research principles and relevant subject matter knowledge relevant to administer a research project. With a moderate level of direction, manages lab and/or research-related duties and tasks. Helps develop, design and conduct research projects according to plan.
  • Supports data collection and analytical needs of research projects. Conducts literature reviews and helps write reports and manuscripts. Ensures project compliance with different policies, procedures, directives, and mandates.
  • Takes responsibility for the following non-laboratory duties: transcribing and coding data; developing data collection instruments; presenting research; and recruiting and scheduling research subjects. Acquires higher-level skills and knowledge in the process.
  • Takes responsibility for the following laboratory duties: recognizing abnormal results and varying conditions or procedures to correct problems; setting up and performing experiments. Analyze the meaning, significance, causes, and effects of the subject.
  • Performs other related work as needed.

Education:

Minimum Qualifications

Minimum requirements include a college or university degree in related field.

Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:

  • Bachelor’s degree in a relevant field (e.g., Health Sciences, Life Sciences, Business Administration, Project Management).

Experience:

  • Prior experience with project coordination, ideally within a clinical, research, or healthcare setting.
  • Experience with multi-site research or grant-funded projects.
  • Knowledge of lab safety, compliance regulations, and best practices.
