Description

  • Coordinates efforts with the Property Control Manager to safeguard University Fixed Assets. Manages the University's Fixed Assets System. This includes Buildings, Building Improvements, Land, Equipment, Intangibles and Infrastructure.
  • Ensure asset additions and disposals are properly input in the Fixed Assets system and are properly recorded in the General Ledger. Reconcile the Fixed Asset module and reports to the appropriate General Ledger Accounts.
  • Record and reconcile depreciation expense and accumulated depreciation for Buildings, Building Improvements, Equipment, and Infrastructure.
  • Prepare year-end audit schedules for Fixed Assets and Investments which will be provided to the external auditors.
  • Perform accounting work in the maintenance and review of capital projects records, assisting in monitoring the progress of capital projects, investigation variances.
  • Oversees and acts as a backup, when needed to the Finance Coordinator in accepting cash receipts for deposit.

Examples of Duties

Coordinate with Property control manager to safeguard University Fixed Assets: 60%
  • Manage the University’s Fixed Asset System. This includes Buildings, Building Improvements, Land, Equipment, Intangibles, and Infrastructure.
  • Monitor a system of controls, procedures, and forms for the redecoration of fixed assets.
  • Reviews and Approves Fixed Asset Requisitions in UCMarket.
  • Keeps up to date on all technical accounting knowledge of the fixed asset processes and best practices.
  • Ensures compliance with the University fixed asset policies, procedures, and defined internal controls.
  • Track the compilation of project costs into fixed asset accounts, and close out those accounts once the related projects have been completed.
  • Reconcile the balance in the Fixed Asset subsidiary ledger to the appropriate General Ledger Accounts.
  • Creates and communicates key financial and business analysis/support to management on capital expenditure and depreciation trends.
  • Calculate, record and reconcile depreciation expense and accumulated depreciation for Buildings, Building Improvements, Equipment, Intangibles, and Infrastructure.
  • Calculate and record the financial ramifications of dispositions and obsolescence of fixed assets in the ledger.
  • Prepare complex year-end Fixed Asset and depreciation audit schedules for the external auditors, and assist the auditors in their inquiries.
  • Implements and manages the current asset management system used by Property Control Manager, to maintain the records of the University’s moveable property and equipment inventory.
  • Oversees testing of the current asset management system during and after patches or upgrades.
  • Must understand all aspects of the current asset management system to troubleshoot any issues.
  • Assign tag numbers to intangible assets, and other assets in the fixed asset system as required by the property control manager.
  • Conduct analyses related to fixed assets as requested by property control manager and/or director of accounting services.
  • Assists Property Control Manager with the coordination of the annual University surplus auction.

Capital Project Accounting: 20%
  • Reviews Capital Project requests to determine if it should be treated as a capital project or M&R.
  • Creates Capital Projects in Banner.
  • Works closely with theFPOteam and procurement. Conducts monthly project update meetings.
  • Provides project managers with timely financial reports and budgets, as well as project forecasts.
  • Reports to the Director of Accounting Services or other project managers as required.
  • Review Project closeout documentation.
  • Preparation of any required financial reports.
  • Assist with internal and external audits as necessary.

Oversees Sales Tax procedures and Provides accounting support to Auxiliary Units and General Ledger Accounting: 10%
  • Review auxiliary unit’s sales to verify tax exempts sales to be accurate. Oversees the reconciliation of sales and tax-exempt sales schedules to the ledger and tracks down discrepancies.
  • Keeps up to date on all state sales tax matters.
  • Prepares all monthly sales tax reports and works with departments to determine UCMsales tax exemptions in other states and prepares the necessary documents as necessary.
  • Aids in determining related and unrelated revenue and expenses for filing UBIT’s 990T tax return.
  • Assist in the Accounting Services Director as needed in preparing journal entries.
  • Assist the Accounts Payable Manager in preparing and entering correcting journal entries.
  • Assist the Accounting Services Director and Controller prepare analysis work when requested.

Manage University Departments Resale Inventory process: 5%
  • Schedule/Manage resources to perform University Warehouse inventory count and resale locations on campus.
  • Support inventories as deemed necessary on campus and at other University locations.
  • Record inventory adjustments in the general ledger.
  • Prepare complex year-end Inventory audit schedules and reconcile the inventory schedule to the General Ledger, and assist the auditor in their inquiries.

Oversee and supports the Financial Services Coordinator with various campus deposits: 5%
  • Develops strategies, maintain, and enforce the University’s cash handling procedures of departments.
  • Act as backup in the absence of the Financial Services Coordinator in the processing of departmental deposits and petty cash disbursements.
  • Oversee daily cash reconciliation of bank deposits and cashiering reports.

Typical Qualifications

Education:

  • Bachelor's degree in Accounting, Finance, or Related Field

Experience:
  • Two (2) years progressively more responsible accounting experience. Fixed asset accounting experience preferred.
  • Experience with Banner financial system preferred.
